Customer Process Coordinator (CPC) / Merchandiser

We are seeking a Customer Process Coordinator (CPC) who will serve as the central owner of customer milestones and execution. This role is critical to ensuring that every step, from quote through delivery, is accurate, aligned, and completed on time.
If you are highly organized, detail-driven, and thrive in a fast-paced, cross-functional environment, this role offers the opportunity to take full ownership of process, data, and delivery.
This is a non-exempt remote position.
WHAT YOU’LL BE DOING
This role owns customer milestones, item setup, quote accuracy, order execution, and shipment visibility from quote through delivery. The CPC serves as the central point of coordination across Sales, Product Development, Packaging, Purchasing, Finance, and Operations to ensure deadlines are met and data is accurate.
Customer Milestone & Process Ownership
• Own and manage all customer and internal milestones from quote through delivery
• Build and maintain milestone trackers to ensure visibility and accountability across all stages
• Serve as the process owner from initial quote through shipment and post-delivery reconciliation
• Validate readiness at each stage before progressing to the next phase
• Ensure all shared data is accurate, proofed, and aligned across teams
• Proactively identify risks to timelines or data accuracy and escalate with solutions
Customer Setup, Quotes & Documentation
• Coordinate Certificates of Insurance with Finance as required
• Create and maintain customer profiles and documentation
• Prepare, issue, and validate customer quotes for accuracy and approvals
• Manage quote entry within customer portals and ensure alignment with internal data
• Coordinate communication with Sales and buyers to finalize quotes and address questions
Item Setup & System Management
• Complete internal and customer-facing item setup with a focus on data integrity
• Ensure all system data aligns with approved quotes, packaging, and customer requirements
• Maintain and validate tracking logs and portal data
• Serve as the single source of truth across all systems and documentation
Commitment & Purchase Order Management
• Initiate and manage customer commitments aligned with quotes and timelines
• Track and reconcile Purchase Orders (POs) against commitments
• Coordinate Vendor Purchase Orders (VPOs) with Purchasing
• Validate all order details prior to release to production
• Ensure milestone alignment before advancing orders
Production & Packaging Oversight
• Partner with Packaging and Product Development to validate artwork and specifications
• Monitor production timelines and ensure alignment with customer expectations
• Confirm production readiness based on accurate, approved data
• Ensure inspection requirements are met and documented
Logistics, Shipment & Post-Delivery Support
• Track shipments through final delivery
• Validate shipping documentation for accuracy and compliance
• Maintain shipment visibility and proactively address risks
• Partner with Finance to resolve chargebacks using documented milestone history

COMPENSATION
The Workhorse Group offers a competitive compensation package, with salary determined based on experience, qualifications, and work location. For roles performed in jurisdictions requiring pay transparency, the anticipated base salary range for this position is between $60,000 and $70,000.
