JOB DESCRIPTION:
The Executive Assistant to the Sr. Director, Operations - Bendix Mexico is responsible for providing comprehensive support to the Sr. Director, Operations - Bendix Mexico, Leadership Staff, and Executive Team while visiting Acuna facilities and managing the organization’s office operations. This dynamic position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.
Essential Functions:
• Responsible to coordinate Leadership staff meeting: schedules, presentations, minutes.
• Provide support and follow up activities for the Sr. Director, Operations.
• Support development and maintenance of Sr. Director, Operations yearly calendar and schedule.
• Works closely with Corporative Executive Assistants to coordinate BLC visits.
• Read and screen incoming correspondence and reports; make preliminary assessment of the importance of materials and organize and prioritize documents.
• Schedule and coordinate meetings, events, workshops, and visits.
• Coordinate the information to be complete and on time for the Operations Daily Report.
• Coordinate the information to be complete and on time for the Monthly Report.
• Issue and follow up requisitions to buy diverse articles, related with her responsibility area.
• Monitor and track expenses and consolidate statements vs T&E reports and purchasing reports for Company P Card.
• Key offices and carpools control (in collaboration with facilities department).
• Responsible for the Reward and Recognition process: approvals, certificates, and prize/compensation as well as to maintain and control Reward and Recognition items.
• Responsible to control Lunch request for special events: visit, trainings, workshops.
• Coordinate travel as required.
• Responsible for processing visa documents, permits for foreigners’ visitors, US employees.
• Responsible to attend Immigration audits.
• Coordinate company driver activities.
• Assist Leadership activities as required.
• Support events for different departments: HR, HSE, KPS
• Support PSA Activities and procedures with team members.
• Perform all those activities that by the nature of the position are required.
Management & Supervisory Responsibilities:
• Job is directly responsible for managing other employees; supports with the coordination of the activities of the company driver.
Knowledge:
• Knowledge of Microsoft office applications.
• Knowledge of Outlook, teams.
• Knowledge of Printing, Scanning, Audio systems, Projector.
• Knowledge of Effective Communications.
• Knowledge of Event Planning and coordination.
• Knowledge of Institutional and Corporate protocol.
• Knowledge of Design of presentations.
• Knowledge of Public Relations.
• Knowledge SAP/SRM preferred
Experience:
• 3 to 5 years of experience in similar position.
• SAP or other ERP experience preferred.
Skills:
• Bilingual (English/Spanish)
• Self-starter, capable of working independently, highly motivated with a strong sense of urgency.
• Ability to establish priorities and dedicate resources to critical actions necessary to achieve goals.
• Effective problem solver, conduct unbiased analysis, and identify hidden problems to achieve effective solutions.
• Project Management - multiple activities at once to accomplish a goal. Use resources effectively and efficiently and arranges information in a useful manner.
• Able to communicate effectively with others
• Ability to work well with leadership roles

Education/Certifications:
• Bachelor’s Degree
