Job Summary
The Ellison Medical Institute is seeking a reliable and detailed-oriented front office administrator to join its Oncology and Preventative Health clinic. The Clinical Associate I is a key member of the clinic, serving as the primary point of contact for patients and visitors while supporting the clinic’s commitment to exceptional, patient-centered care.
This role ensures efficient front-office operations by scheduling patient appointments, managing incoming communications, maintaining accurate medical records, and overseeing registration and insurance processes.
Reporting to the Clinic Manager, the Clinical Associate I contributes to operational excellence and a seamless patient experience that supports the Institute’s broader mission of delivering high-quality, compassionate oncology and preventative medicine services.

- Data Management: Contribute to accurate collection, review, and tracking of clinical data and documentation
Job Accountabilities
- Patient Access & Experience: Serve as the first point of contact from registration through discharge, ensuring a welcoming, professional, and seamless patient experience. Accurately collect, verify, and update demographic, insurance, benefits, and care team information to support proper registration, billing integrity, and continuity of care. Facilitate efficient check-in and check-out processes.
- Appointment & Infusion Scheduling: Coordinate and schedule patient appointments, including follow-up and infusion visits. Confirm upcoming appointments, maintain schedule accuracy, and support clinic flow to ensure timely access to care.
- Front Office Communications: Manage incoming calls via multi-line phone system, triage inquiries appropriately, route calls to clinical or administrative staff, and document messages accurately to ensure timely resolution and follow-up.
- Medical Records & Documentation Management: Maintain accurate and complete patient records within the Electronic Health Record (EHR) system. Obtain, upload, and organize clinical documentation to support care coordination.
- Correspondence & Document Processing: Process incoming faxes and electronic correspondence, ensuring timely review, accurate documentation, and appropriate distribution to care team members.
- Administrative & Operational Support: Provide administrative support to ensure efficient front-office operations and overall clinic workflow. Assist providers with internal and external meeting scheduling and preparation of related materials as needed.
ADDITIONAL INFORMATION:
- Required Education: High School Diploma / GED required; Associate’s Degree preferred. Required Experience: A minimum of 6 months to 1 year of work experience is required, experience in a healthcare or customer service setting is preferred.
- Required Skills & Experience:
- Strong verbal and written communication skills.
- Excellent organizational skills and attention to detail for accurate maintenance of patient records and communications.
- Proficiency in electronic health records (EHR) systems and office software, including Microsoft Office Suite, Outlook, and Adobe Acrobat.
- Critical thinking and problem-solving skills.
- Knowledge of and adherence to privacy regulations, including HIPAA.
- Ability to maintain discretion and confidentiality.
- Effective time management to handle multiple tasks and prioritize responsibilities.
- Attention to compliance and regulatory requirements.
- Patience and empathy in addressing patient inquiries and concerns.
- Team collaboration and adaptability.
