About This Position
OVERALL JOB OBJECTIVE:
The Media Systems & Archive Manager is responsible for the end-to-end technical, operational, and production-integrated management of Zumba’s video assets across all business units. The role requires deep technical expertise, systems thinking, content familiarity, financial accountability, and operational reliability, ensuring that assets are searchable, consistent, scalable, and aligned with the organization’s production needs.
This role governs:
- Metadata structure and file architecture
- Storage forecasting and cost optimization
- Workflow integration and cross functional alignment across depts
- On-set DIT operations
- QC, ingest, and archival integrity
JOB RESPONSIBILITIES:
- Design, maintain, and enforce metadata taxonomies, naming conventions, and folder structures.
- Develop and manage cross-platform asset workflows integrating Iconik, Dropbox, AWS, Frame.io, Adobe Productions, and internal servers.
- Ensure consistent ingest, organization, and version control that supports retrieval and long-term scalability.
- Conduct regular system audits to identify inconsistencies, resolve labeling issues, prevent duplication, and improve asset hygiene.
- Own annual forecasting for Iconik tokens, Dropbox and FrameIO storage, AWS/S3 usage, and related asset storage budgets based on volume planning and ingest trends.
- Track monthly usage and ensure forecasts are accurate and aligned with content strategy.
- Prevent unnecessary duplicate archiving, which increases storage costs.
- Report cost trends and usage patterns to Video Production leadership.
- Ensure the organization adheres to retention logic, minimizing unnecessary storage spend.
- Configure and maintain secure remote vendor access to servers, shared drives, and cloud systems.
- Troubleshoot permissions, connectivity, and workflow issues between vendors and internal platforms.
- Ensure vendors follow naming conventions, delivery standards, and ingest rules.
- Partner with IT/Tech Ops on escalations or infrastructure changes.
- Serve as primary on-set Data Manager/DIT, ensuring footage is accurately ingested, backed up, verified, and organized in real time.
- Collaborate with producers and shooters to maintain data integrity and correct folder structures.
- Prepare media and proxy workflows for post-production.
- Maintain clear labeling, drive management, and QC for all captured content.
- QC all incoming and outgoing assets for specs, naming, metadata, and alignment with retention rules.
- Validate deliverables before they enter the DAM or are handed off to other departments.
- Implement automated or semi-automated QC systems where applicable.
- Ensure all departments (Creative, App, Brand, Marketing, Vendors) adhere to naming, ingest, metadata, and delivery standards.
- Manage asset intake from external teams and ensure compliance before archiving.
- Serve as the central owner of DAM across the organization.
- Oversee backup processes and ensure redundancy policies are followed.
- Coordinate disaster recovery checks with Tech Ops.
- Manage archival workflows to ensure accuracy and prevent duplicate or unnecessary storage of legacy projects.

Requirements:REQUIRED QUALIFICATIONS:
- 5+ years experience with DAM/MAM systems including Iconik, AWS S3, cloud storage, and post-production tools.
- Expertise in metadata taxonomy design, version control, ingest pipelines, and media management.
- Proficiency with Adobe ecosystems (Premiere, After Effects) and proxy/render workflows.
- Ability to support on-set data ingestion and DIT workflows.
