What Makes This Role Special
The Fleet Coordinator is the driving force (pun intended) behind our vehicle operations, overseeing the full lifecycle of our fleet from the moment a vehicle arrives to the day it rolls out the door. You'll keep the wheels turning by managing vehicle documentation, coordinating repairs and reconditioning with our mechanical shop and vendor partners, and ensuring every detail, from vehicle data to invoiced charges, is accurate down to the last decimal point.
You'll also be the go-to resource for customer inquiries related to vehicles and titles, bringing both expertise and a calm, solutions-first approach to every interaction.
Your Day-to-Day Adventures
- Respond promptly to customer inquiries related to vehicles and titles
- Enter notes, estimates, and findings into IMS and run daily mechanical reports
- Communicate with the Mechanical Shop, OSCs, and outside vendors on repairs and services
- Post and verify all reconditioning charges to vehicle accounts accurately and on time
- Prepare titles, contracts, bills of sale, and pre- and post-sale reports
- Process all post-sale paperwork and checks
- Verify vehicle information is accurately recorded and ready for sale
- Check all announcements and lights prior to sale
- Set the weekly sale and ensure all vehicles are auction-ready
- Maintain vehicle inventory and support the first-in, first-out process
- Ensure vehicle readiness for weekly auctions
- Maintain a safe workplace, making safety the highest priority at all times
- Ensure compliance with company policies, state regulations, and audit requirements
What We're Looking For (The Must-Haves)
- High School Diploma or General Education Degree (GED)
- At least 2 years of administrative experience, customer service, or operations coordination experience.
- Comfortable using multiple software systems, databases, and learning inventory management systems
- Strong attention to detail and accuracy; and the ability to prioritize tasks and manage time efficiently
- Proficiency with Microsoft Office Suite applications and other computer systems
- Authorized to legally work in the United States
Nice to Have (But We'll Train You!)
- Experience processing vehicle titles or DMV documentation is a plus
- Experience in an auto auction, dealership, fleet management, or automotive sales environment, preferred.
- Familiarity with vehicle information, VIN’s, and automotive terminology preferred
- Bilingual in Spanish, a plus.

- Schedule: Day shift, Monday - Friday, with Tuesday auction day support (weekends are yours!)
- Location: 224 Highway 49 South, Concord, NC 28025
