About This Position
The Director of Admissions is responsible for leading student recruitment, enrollment, and onboarding at Excelsior Prep Charter Schools. This position ensures equitable access for all families, maintains compliance with charter and state requirements, and delivers family experience that reflects the school's mission and values. The role includes developing strategy and executing admissions processes across grades K–8, overseeing the annual enrollment cycle (including lotteries, waitlists, and re-enrollment), collaborating with school leaders to align enrollment projections with staffing and budgeting needs, and utilizing data to improve outreach and conversion outcomes.
Key Responsibilities● Enrollment strategy & goals: Develop and implement an annual admissions and recruitment plan to achieve grade-level enrollment targets and manage waitlists as necessary.
● Community outreach & marketing partnership: Foster relationships with community organizations, feeder early childhood programs, and local leaders. Coordinate events such as open houses, tours, and information sessions, and collaborate with the marketing team on digital and print outreach.
● Admissions operations: Supervise the application process, verify documentation, manage data entry in Enroll Stream, and adhere to timelines. Ensure a consistent and high-quality experience for families from the initial inquiry to the first day of school.
● Lottery, waitlist & compliance: Administer charter-compliant and transparent lotteries and waitlists when required. Maintain necessary records and ensure compliance with all federal, state, and local regulations, including nondiscrimination and confidentiality standards.
● Re-enrollment & retention support: Lead annual re-enrollment activities, identify risks of attrition, and coordinate with school leadership and marketing to implement family engagement strategies that promote student persistence.
● Family communication: Produce clear, multilingual-ready communications about deadlines, required documents, placement offers, and onboarding steps. Manage standards for responding to inquiries. *Bilingual Required
● Data management & reporting: Maintain accurate enrollment pipelines and dashboards. Monitor conversion rates, yield, and demographic trends, and provide regular updates to school leadership and the Board as requested.
● Cross-functional collaboration: Work closely with the Principal, Executive, Management, and Marketing teams to ensure enrollment projections are aligned with staffing, class size, scheduling, transportation (when applicable), and budget requirements.
● Onboarding coordination: Oversee registration processes, records requests, collection of health and immunization documentation, and new-family orientations in collaboration with the principal and on-site administration.
Required Qualifications● English and Spanish Required
● Willingness to travel as needed, primarily between Tampa and Miami.
● Demonstrated capacity to handle sensitive student and family information with discretion and in accordance with privacy expectations.
● Strong project management skills, including planning, prioritization, and execution across multiple deadlines.
● Proficient in databases and productivity tools such as Salesforce, student information systems/enrollment platforms, and spreadsheets.
● Excellent written and verbal communication skills with families and community stakeholders.
● Experience working in a charter school environment, including overseeing enrollment/lottery processes and compliance requirements.
● Proven ability to develop and manage enrollment projections and reports for purposes of budgeting and staffing.
● Background in community-based recruitment, partnerships, and event planning.
● Commitment to educational equity and creating a welcoming, responsive experience for all families.
● Ability to analyze enrollment funnel data (inquiries, applications, offers, acceptances, registrations) and apply insights to drive action.
● Strong attention to detail and capability to accurately execute compliance-driven processes.
● Ability to build trust with diverse stakeholders and represent the school in the community with professionalism.
● Sound judgment, problem-solving skills, and capacity to manage multiple priorities during peak enrollment periods.
● Comfort with occasional evening and weekend events during recruitment season.
This is a school-location based (Tampa, Miami), full-time position, however, part-time will be considered for the right candidate. Work hours average out to 40 hours per week, with some weeks more and some weeks less, depending upon peak recruitment, lottery, and onboarding periods. This role requires flexibility in hours, weeknights, and weekends. The role involves regular community engagement, participation in events, and meetings that may take place outside of standard hours.
● Reports to: Executive Director
Salary Range: $50,000+ per year for full-time positions, commensurate with experience. This is a school-based, full-time position, however, part-time will be considered for the right candidate.
