SUMMARY: The Senior Project Coordinator, Design-Build is a field-integrated operational role responsible for supporting the successful delivery of residential landscape construction projects from pre-construction through close-out. Operating with a high degree of autonomy, this role bridges design intent, project planning, and field execution while taking on select project management responsibilities.

This is a Field-Integrated Hybrid Role (50% Office / 50% Field). Success in this position is built through consistent on-site presence, not solely coordination from the office. The Senior Project Coordinator is expected to be a visible leader on-site, fostering strong relationships with crews and acting as a consistent point of contact for clients. This approach ensures projects move efficiently, safely, and in alignment with scope, schedule, and budget.

Working closely with the Division Manager, this role is responsible for driving day-to-day project coordination, maintaining schedule and budget alignment, and proactively managing project variables to ensure quality, profitability, and client satisfaction.

DUTIES AND RESPONSIBILITIES: 1. Project Coordination & Execution
  • Coordinate multiple residential design-build projects from pre-construction through completion.

  • Develop and maintain detailed project schedules, sequencing work activities to support efficient field execution.

  • Monitor project progress, labour productivity, and costs; identify variances and take corrective action.

  • Support Project Managers with day-to-day decision-making, issue resolution, and execution planning.

  • Take ownership of smaller projects or defined scopes, including direct coordination and delivery.

2. Field Leadership & Daily Execution
  • Conduct regular (often daily) site visits to active projects to ensure work is progressing safely, efficiently, and in alignment with plan.

  • Act as the on-site bridge between planning and execution, ensuring crews have clarity, direction, and support.

  • Address client concerns and site challenges in real time to prevent delays or deficiencies.

  • Provide practical, hands-on technical guidance related to sequencing, equipment use, and installation methods.

  • Build strong working relationships with field teams, reinforcing accountability, trust, and performance standards.

3. Client & Stakeholder Management
  • Serve as a primary point of contact for clients during active projects.

  • Manage expectations through proactive communication, site presence, and timely issue resolution.

  • Coordinate with designers, estimators, crews, subcontractors, and suppliers to ensure alignment with project intent.

  • Document and manage scope changes, including pricing inputs and client approvals.

4. Pre-Construction & Design Coordination
  • Support handoff from sales/design by reviewing plans, specifications, budgets, and project requirements.

  • Participate in constructability reviews, identifying risks, gaps, and opportunities for improved execution.

  • Coordinate permits, locates (e.g., Alberta One-Call), and required documentation.

  • Ensure all project inputs (materials, labour, equipment) are aligned with schedule and scope.

5. Financial & Cost Control Support
  • Track and manage project budgets, including labour, materials, and subcontractor costs.

  • Approve time, monitor daily production, and support cost-to-complete forecasting.

  • Assist with change order pricing, budget adjustments, and cost reporting.

  • Identify risks to margin and support corrective actions.

6. Procurement & Resource Coordination
  • Coordinate material procurement, vendor pricing, and delivery schedules.

  • Manage subcontractor scheduling, scope alignment, and performance.

  • Anticipate material or supply constraints and adjust plans proactively.

  • Ensure all resources are in place ahead of scheduled work.

7. Operational Efficiency & Continuous Improvement
  • Eliminate coordination gaps between office and field through real-time decision-making and site engagement.

  • Identify and implement more efficient installation methods based on field observations.

  • Promote a “field-first” approach where planning and administration directly support execution.

8. Documentation & Project Controls
  • Maintain accurate project documentation including schedules, RFIs, change orders, purchase orders, and site records.

  • Track milestones, deliverables, and close-out requirements.

  • Support internal reporting and communication with management.

  • Lead or support project close-out, including deficiencies and client sign-off.

9. General
  • Perform other duties as assigned.

*Seasonal Transition: Winter Services

From November through April, Park Landscaping transitions its primary operations to comprehensive snow and ice management. During this period, all roles adapt to support our winter service commitments. Due to the unpredictable nature of Alberta weather, this position requires a flexible schedule, including availability for evenings, weekends, and holidays during significant snow events to ensure the safety of our clients’ properties.

QUALIFICATIONS:
  • Experience: 5+ years of experience in project coordination, project management support, or junior project management within landscaping, construction, or design-build environments.

    • Proven experience managing multiple concurrent projects involving crews, trades, and suppliers.

    • Strong preference for candidates with prior hands-on field experience and a practical understanding of landscape construction methods, equipment, and production rates.

  • Education & Certification: Diploma or degree in Project Management, Construction Management, Landscape Design, or a related field preferred.

    • PMP, CAPM, or related certification considered an asset.

  • Regulatory Knowledge: Working knowledge of construction safety practices and site compliance requirements.

    • Familiarity with permits, locates (Alberta One-Call), COIs, and subcontractor documentation.

    • Understanding of basic contract structures and change management processes.

  • Systems & Technical Experience: Experience with project management and scheduling software (e.g., Aspire or similar ERP systems).

    • Strong ability to read and interpret landscape plans, construction drawings, and specifications.

    • Proficient with Google Workspace or similar tools for tracking, reporting, and communication.

PHYSICAL DEMANDS AND WORK ENVIRONMENT:
  • Hybrid role with approximately 50% office-based coordination and 50% field-based activity.

  • Frequent site visits requiring work outdoors in varying weather conditions.

  • Ability to safely navigate active residential construction sites.

  • Occasional lifting of light materials or equipment (up to ~25 lbs).

  • Fast-paced, deadline-driven environment with extended hours during peak construction and winter operations.
