Mile High Early Learning is a premier provider of early care and education for children 6 weeks to five years focused on growing great young minds and preparing them for kindergarten and the world using a Montessori inspired curriculum approach.

Mile High Early Learning is seeking an Administrative Assistant who is bilingual (Spanish), highly detail oriented, organized, and reliable. Responsible for providing general office support with a variety of clerical activities and related tasks. The Administrative Assistant (AA) is responsible for answering incoming calls, directing calls to appropriate personnel, answering questions regarding Mile High Early Learning (MHEL) and its programs, mail distribution, and flow of correspondence. The AA performs a wide variety of general clerical, data entry, other general office duties and projects as assigned to meet needs of MHEL.

Regular hours are Monday through Friday, 8:00a - 5:00p.

Responsibilities include:

  • Primary responsibility for answering the central phone system; responding professionally to telephone calls; questions and takes written messages as needed.
  • Greet visitors, handle questions, and direct visitors to staff as appropriate.
  • Keep desk space/office tidy, free from boxes and clutter.
  • Provide general clerical assistance (filing, scanning, copying of documents, monitor email inboxes, fax, etc.) at the Speer building and MHEL’s child care centers.
  • Maintain office equipment (copy machine, postage meter, etc.).
  • Help keep office supply closet organized; put away office and kitchen supplies.
  • Receive, sort, distribute mail and packages, and dispatch outgoing mail/packages.
  • Schedule the conference room; make meeting arrangements.
  • Clean Franke coffee machine nightly, run dishwasher when full, empty clean dishes from dishwasher when clean, tidy up kitchen when needed (counter tops, tables, toaster oven, refrigerator etc.), and water plants.
  • Assist with supply orders.

Program Assistance

  • Process cash and credit card payments from families for parent co-pays. Enter payment data into database and provide list of payments to accounting team.
  • Send out phone calls and email reminders to families of payments that are due. Make payment arrangements.
  • Send Program Directors, Family and Community Advocates, Billing, and Enrollment staff a list of service interrupts for payments not received.
  • Send billing coordinator a list of parents’ names who have not paid their parent fee by end of month.
  • Create and print out Literacy sheets every week for all centers.
  • Review and calculate returned literacy and volunteer sheets and data enter in excel sheets.
  • Separate Head Start/Early Head Start /Non-HS Literacy sheets to count the volunteer hours for each program and provide information for PIR.
  • Review Breakfast, Lunch, Snacks sheets and enter into database
  • Open mail with check payments included. Endorse check for deposit. Give each check, photocopy of check, and envelope to Chief of Staff.
  • Open mail with invoices and scan to Concur software.

Maintenance Assistance

  • Assign work orders in maintenance app to appropriate center and technician.

Other

  • May involve interaction with educationally, economically, culturally, and racially diverse persons whose first language may not be English
  • Effectively resolve conflict; remain calm in a very busy and/or emergency
  • Maintain confidentiality related to all aspects of the parents / children enrolled and employee information as defined by MHEL, State of Colorado and Federal regulations
  • Maintain professional and effective working relationships with co-workers and MHEL staff
  • Attend mandatory staff meetings
  • Perform other duties as assigned

Essential Physical Requirements:

  • Conduct activities involving substantial standing, walking and moderate sitting, stooping, kneeling, bending, crouching, crawling, twisting, and reaching on a frequent basis.
  • Work with hands above shoulder height with a weight up to 25 lbs.
  • Work with arms extended at shoulder height with a weight up to 25 lbs.
  • Push, pull equipment, supplies, manipulate office equipment, open cardboard boxes etc.
  • Participate in routine conversation in person or via telephone and distinguish telephone, door bell, alarms, and other auditory tones.
