SUPERVISOR - PATIENT ACCESS

The Supervisor of Patient Access oversees the daily functions and operations of central scheduling, pre-registration, registration and insurance verification, including inpatient admission notifications for both Mary’s Avenue and Margaretville Hospitals. The Supervisor manages the daily activities of admission, discharge and transfer of all inpatients, outpatients and emergency room patients. The Supervisor is responsible for the oversight of staff performing daily transactions, the successful implementation of all process improvements, and the overall success of the patient access functions for HealthAlliance. The Supervisor will assure necessary staffing is in place to maintain productivity standards for all patient access functions, including the 24/7 coverage required for Emergency Room Registration. Performs related work as required.

Responsibilities:

  • Manages non-clinical staff in a manner that promotes optimal productivity, achieves patient and physician satisfaction and engages employees to perform at their highest level, all consistent with the Westchester Medical Health System.
  • Supervises staff activity to ensure all patients are accurately and efficiently scheduled, registered and verified using all available registration applications, reports and other related resources. Provides comprehensive training of new hires and direction and/or communication to all staff consistently and effectively to ensure objectives are always being met.
  • Responsible for all patient access administrative functions that contribute to the management and overall accuracy and execution of all registration transactions, including the coordination of pre-registration, pre-verification and screening for medical necessity, as appropriate.
  • Utilizes education, experience and analytical judgment to perform critical job functions and prioritize oversight of daily workflow using system reports, frequently monitoring staff work queues and by performing routine audits. Identifies areas for process improvement by following trends communicates all departmental concerns and observations to upper management.
  • Continuously observes that customer and departmental needs and expectations are anticipated by staff. Identifies opportunities to enhance customer service approaches and effective communication with and among all staff to assure consistency and excellence in customer service. Serves as a liaison between physician practices, management, and support departments to achieve improved outcomes and resolution.
  • Routinely monitors and tracks staff quality performance, providing necessary feedback to ensure consistency among educational standards. Assists with preparation of annual performance appraisals, weekly timecards and necessary focused re-educational efforts.
  • Maintains daily and future staffing schedules for all staff, assuring all shifts are appropriately filled with prudent use of available resources. Reinforces appropriate communication standards between staff with regard to schedule changes and attendance. Creatively reorganizes staffing to maximize coverage and minimize overtime on all shifts when possible and upon demand.
  • Promotes/portrays a high level of professionalism, both technically and personally. Demonstrates the ability to make decisions promptly and adjust rapidly to situations and demands.
  • Performs other related duties as assigned by Department Management and attends meetings related to job functions and responsibilities.

Qualifications/Requirements:

Experience:

  • 1 year of related experience in a leadership role

Education:

  • High School/GED, required

Licenses / Certifications:

  • N/A

Other:

  • Proficient in: Kronos, Patient management System(s), payer websites, medical terminology, Medicare medical necessity and commercial authorizations. Microsoft Office products such as Excel, Word and Outlook. Document imaging systems and vendor management.
