About This Position
Position Overview
This role requires direct engagement with internal teams, vendors, field crews, and general contractors to ensure the timely, on-budget delivery of commercial foodservice projects from contract through closeout. The Project Manager/Project Coordinator will oversee all aspects of project execution, including planning, procurement, financial management, and field coordination.
Review project scope at contract negotiation and break it into actionable phases with defined timelines.
Maintain overall accountability for successful project completion, including budget, schedule, quality, and documentation.
Assign and track internal tasks; assist in overall schedule management.
Attend and contribute to project meetings; communicate project status to stakeholders.
Review and approve RFIs, submittals, PCOs, safety documentation, and release documentation.
Serve as the primary point of contact for field crews, general contractors, and cross-trade coordination.
Coordinate with BIM, design, and drafting teams to identify and resolve potential clashes.
Track and submit change orders to the GC and issue related changes to subcontractors.
Oversee material procurement, ensuring alignment with contract documents and project schedule.
Create and send purchase orders, negotiate vendor discounts, and approve PO content.
Manage delivery and receipt of equipment, materials, and rentals (forklifts, cranes, etc.).
Track BOLs and proof of delivery; maintain procurement and logistics logs.
Submit updated scheduling information to manufacturers and reps.
Ensure all ordered items are compliant with contract and company standards.
Prepare and process monthly billing, including follow-up on outstanding invoices.
Track and report job costing in internal systems (NetSuite, Excel, etc.).
Monitor and control budget compliance; flag variances for review.
Create and maintain cost tracking and procurement spreadsheets.
Submit and track all project documentation, including RFIs, submittals, PCOs, safety plans, and closeouts.
Maintain and update comprehensive logs (RFI, Submittal, PCO, Procurement).
Compile and submit closeout packages including O&M manuals, training documentation, and warranty materials.
Prepare internal and external project reports for use by the field and GC.
Request and confirm field dimensions.
Schedule and coordinate equipment training, installation, start-up, and warranty service.
Answer field-related technical questions and proactively address on-site issues.
Support safety compliance through Procore and ensure template accuracy.
Commercial kitchen or foodservice project experience required – strong understanding of equipment layouts, utilities, and coordination requirements.
5+ years of experience in project management or project coordination within construction, architecture, or equipment contracting environments.
Proven ability to manage multiple projects simultaneously from contract through closeout.
Strong knowledge of construction documentation, submittals, RFIs, and change order processes.
Proficiency in Procore, Bluebeam, and/or NetSuite preferred; advanced Excel skills required.
Excellent communication and organizational skills with the ability to coordinate across field, vendor, and client teams.
Ability to read and interpret architectural, mechanical, and electrical drawings.
Detail-oriented, proactive, and capable of problem-solving in fast-paced environments.
Valid driver’s license and ability to travel locally to job sites as needed.
