Function/Duties of Position

The CEDAR Clinical Research Coordinator is responsible for the overall management of early detection clinical trials at Bay Area Hospital and Southern Oregon. This position is located in Coos County, Oregon, requiring in-person work at Bay Area Hospital Cancer Center, with limited work from home opportunities during the week. This includes working closely with the regulatory and cordination team in Portland remotely to assist in the completion of all regulatory documentation required by the OHSU IRB and sponsor, creation of study calendars and flow charts, assisting in the verification of patient eligibility, development of data collection instruments and consent forms, data entry, assurance of conduct of protocol in accordance with applicable NCI and FDA guidelines, maintenance of study patient records and source documentation, coordinating orders and study drug with the clinical team, ensuring that patient billing is accurate and assisting manager and financial team in verifying appropriate clinical trial billing. The study coordinator will have direct patient contact and process biological samples. The study coordinator will also assist with community outreach to reach a diverse population for recruitment and support the Bay Area Hospital (BAH) subsite in recruitment and enrollment.

Duties include:

Participant Coordination

  • Participate in recruitment activities to include community outreach and flyer distribution, including occasional weekend and evening events.
  • Review patient data to determine appropriate eligibility and deficiencies regarding enrollment into clinical trials.
  • Contact potential participants to screen for eligibility and schedule research visits.
  • Conduct study visits in adherence with protocol parameters and appropriate training, to include consenting, taking a medical history, and the procurement and processing of human biological specimens. Obtain and submit imaging studies and pathology samples as required by the sponsor to the appropriate reviewers as required by the protocol. Review and report adverse events or unanticipated Problems to the IRB/study sponsor.
  • Perform data entry and chart review/abstraction to verify that key data has been reported to the clinical research database or reported to the sponsor in the required format. Review follow-up data clarifications or data queries and report within the study timeline. Maintain and update subject data for study analysis and survival. Assist investigators with any special requests for data retrieval and/or evaluation and analysis of clinical data for ongoing research studies.
  • Maintain communications with supervisor and OHSU staff on ongoing operations pertaining to scheduling and recruitment.

Clinical Trial coordination

  • Work with supervisor, manager, and regulatory management team to adhere to regulations at OHSU and BAH for compliance to research requirements and submission of reportable information.
  • Be knowledgeable about clinical research protocols and protocol requirements.
  • Respectfully represent OHSU at BAH with interactions with staff, patients, and the community.
  • Keep local Principal Investigator and OHSU staff up to date on key information related to the clinical research.

Required Qualifications
  • Bachelor's in relevant field OR Associate's AND 2 years of relevant experience OR 3 years of relevant experience OR Equivalent combination of training and experience
  • Ability to prioritize multiple tasks at one time
  • Excellent communication, analytical and organizational skills: both written and verbal
  • Ability to work independently and as part of a team while being collaborative in resolving problems
  • Experience with Microsoft Office
  • Excellent customer service, both on the phone and in person
  • Energy and drive to coordinate multiple projects simultaneously
  • Ability to use tact and diplomacy to maintain effective working relationships
  • Keen attention to detail

Preferred Qualifications
  • Some clinical trial knowledge and research experience
  • Experience with database systems
  • Experience with medical terminology
  • Experience in a medical environment
  • Bilingual
