About the Role

The Administrative Assistant plays a vital role in ensuring the smooth and efficient operation of daily office and plant activities within a GMP-certified dietary supplement facility. This position provides comprehensive administrative support across multiple departments, facilitates communication, manages documentation, coordinates supplies and inventory, and assists with general supervision and plant coordination as needed.

The ideal candidate is highly organized, proactive, and capable of multitasking in a fast-paced manufacturing environment. This role serves as the central hub for administrative and operational support, ensuring compliance, efficiency, and collaboration throughout the facility.

Key Responsibilities
  • Manage and coordinate daily office operations, including scheduling meetings, maintaining calendars, and organizing documentation.

  • Handle incoming phone calls, emails, and inquiries professionally; route communications to appropriate departments.

  • Maintain accurate records of manufacturing documentation, inventory logs, and compliance paperwork.

  • Support purchasing and procurement by preparing requisitions, tracking orders, and communicating with vendors and suppliers.

  • Manage office supplies and coordinate replenishment to ensure uninterrupted operations.

  • Assist in inventory control and documentation processes, ensuring traceability and compliance with GMP standards.

  • Provide administrative support to the QA, Production, Maintenance, and R&D departments as needed.

  • Support new hire onboarding and training coordination in collaboration with HR and department leads.

  • Assist with organizing meetings, internal audits, and facility events, including preparing agendas, notes, and follow-ups.

  • Ensure the office and administrative processes operate efficiently and support a clean, professional, and compliant work environment.

  • Serve as a point of contact for plant supervisors, providing administrative and logistical support when needed.

Minimum Qualifications
  • High school diploma or equivalent required; Associate’s degree or higher preferred.

  • Minimum of 2 years’ experience as an administrative assistant, preferably in a manufacturing, industrial, or GMP-regulated environment.

  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Excellent written and verbal communication skills.

  • Strong organizational, time management, and multitasking abilities.

Preferred Qualifications
  • Experience using BatchMaster ERP or other manufacturing software systems.

  • Familiarity with GMP documentation, manufacturing terminology, and regulatory compliance.

  • Experience in inventory or supply chain coordination.

  • Ability to manage sensitive information with discretion and professionalism.

  • Bilingual (English/Spanish) preferred.
