About This Position

Position Overview:
Highly organized and proactive Healthcare Culinary Services Administrative Assistant to support the Food & Nutrition Department. This essential role plays a critical part in daily operations, assisting with catering event setup, retail marketing signage, financial reporting, patient and staff events, and administrative support to the department’s Director. The ideal candidate is detail-oriented, adaptable, and thrives in a healthcare

Key Responsibilities:

  • Executive Administrative Support:
    1. Provide day-to-day administrative assistance to the Director of Food & Nutrition, including calendar management, correspondence, and project coordination.
    2. Prepare, organize, and maintain departmental documents, reports, and presentations.
  • Financial & Operational Reporting:
    1. Assist in compiling, organizing, and maintaining financial reports and departmental expense tracking.
    2. Help monitor budget allocations, supply orders, invoices, and assist with month-end summaries.
  • Catering & Event Support:
    1. Support planning, logistics, and setup for internal catering events, such as staff meetings, leadership luncheons, and hospital functions.
    2. Coordinate with culinary staff to ensure timely delivery and quality of catering services.
  • Retail Marketing & Signage:
    1. Update and maintain all café/retail foodservice signage.
    2. Assist in the rollout of seasonal promotions and ensure signage is consistent with marketing and dietary standards.
  • Patient Celebration Coordination:
    1. Organize and coordinate celebrations for patients (birthdays, holidays, milestones) in collaboration with dietary and clinical teams.
    2. Ensure events are personalized, respectful, and appropriate to dietary needs.
  • Facility Events & Engagement:
    1. Help coordinate employee appreciation days, wellness events, and themed foodservice activations throughout the hospital.
    2. Maintain an events calendar and oversee logistics including setup and materials.
  • General Administrative Duties:
    1. Manage departmental phone calls, emails, and communication.
    2. Maintain accurate filing systems, support staff onboarding paperwork, assist with scheduling, and complete special projects as needed.

Qualifications:

  • 2+ years of administrative experience, preferably in a healthcare or foodservice environment.
  • Strong organizational skills with excellent attention to detail and accuracy in documentation and reporting.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint); experience with budgeting tools or scheduling systems is a plus.
  • Excellent written and verbal communication skills with a professional, service-oriented demeanor.
  • Ability to maintain confidentiality, multitask effectively, and prioritize responsibilities in a fast-paced setting.
  • Able to work collaboratively with cross-functional teams and take initiative with minimal supervision.
  • Compassionate and respectful when engaging with patients and staff.
  • Flexible scheduling is required, including occasional early mornings, evenings, or weekends to support business needs and events.
