We’re looking for a conference and events assistant to join our ranks. In this role, you will join our 14-person team to help plan and host our educational and invitational conferences. You will need a sharp eye for detail as well as the ability to take big changes in stride and juggle a wide range of duties in a fast-paced environment.
Key Responsibilities
- Event Research and Planning: Researching venues, décor, gifts, restaurants, activities, and entertainers. Provide ongoing support to the conference and events team by assisting with daily tasks, troubleshooting issues, and ensuring effective communication
- Conference and Event Administration: Coordinating and supporting all administrative aspects of conferences and events, including generating and analyzing reports, maintaining accurate historical data and records, and ensuring information is organized, up-to-date, and accessible to support planning, evaluation, and continuous improvement
- Meeting Coordination: Organizing internal meetings, both pre- and post-conference, coordinating weekly huddles, and preparing meeting minutes
- Inventory and Production Support: Keeping the production room and storage area organized and stocked, maintaining product inventory
- Materials and Supplies Management: Handling shipping and receiving conference materials and supplies, serving as the team liaison with office services
Core Strengths and Skills
- Ability to manage and oversee multiple projects while prioritizing team support
- Strong follow-up and time management skills
- Ability to remain calm and stay focused under pressure
- Enthusiastic, energetic, and professional demeanor
- Proficiency in Microsoft Word, Excel, and Outlook required
- Knowledge of Cvent and Salesforce is a plus
- Degree in hospitality or experience within the events industry preferred
