Job Summary

The Controlled Substance Specialist supports the safe, compliant, and accurate management of controlled substances within a 503A compounding pharmacy environment.

This role is responsible for maintaining regulatory compliance with DEA, Board of Pharmacy, and internal SOP requirements, while ensuring proper documentation, inventory management, and reconciliation of controlled substances.

The technician is responsible for controlled substance inventory management, documentation, reconciliation, and supporting audits and inspections.

Key Responsibilities

Controlled Substance Monitoring

● Monitor controlled substance storage, access control, and chain-of-custody procedures.

● Partner with procurement, inventory, and quality teams to ensure accurate controlled substance inventory flow.

● Collaborate with pharmacists, technicians, and compliance teams to maintain regulatory adherence and operational safety.

● Identify high-risk, non-compliant, activities and escalate concerns to compliance leadership.

● Stay current on evolving federal and state regulatory requirements.

Compliance & Documentation

● Maintain accurate controlled substance records including but not limited to inventory logs, disposal and ordering records, inventory management reports including multi state PMP reporting.

● Support multi-state Prescription Monitoring Program (PMP) reporting requirements.

● Assist with preparation for DEA audits, Board of Pharmacy inspections, and internal compliance reviews.

● Follow and help enforce SOPs related to controlled substance procurement, handling, compounding support, and disposal.

● Ensure compounding documentation and regulatory records are accurate and complete.

Audit DEA registrations and state controlled substance licenses for regulatory compliance.

● Collaborate with compliance and regulatory affairs teams to evaluate controlled substance requirements across jurisdictions where the pharmacy operates.

● Maintain knowledge of Texas Board of Pharmacy rules, Texas Code of Regulations, and applicable federal regulations.

Qualifications

Required

● Ability and willingness to work onsite five (5) days per week at our office located at 4802 N. Sam Houston Pkwy W. (Beltway 8 & Bammel N. Houston), Houston, Texas.

● High school diploma or equivalent.

● Active pharmacy technician license and national certification (PTCB or NHA).

● Minimum of 3 years of pharmacy technician experience in a regulatory, compliance, specialty, or compounding pharmacy environment.

● 1–2 years of controlled substance experience in a hospital, retail, specialty, or compounding pharmacy setting, or completion/enrollment in a controlled substance certification program.

● Strong working knowledge of DEA regulations, controlled substance documentation, and regulatory compliance requirements.

● Demonstrated experience supporting DEA registration verification and controlled substance regulatory documentation.

● Experience maintaining regulatory documentation including logs, reconciliation reports, and compliance tracking records.

● Proficiency using pharmacy documentation and compliance tools (e.g., DocuSign, Simplifi 797, Microsoft Excel, Microsoft Word, or similar platforms).

● Experience working with pharmacy management systems or pharmacy operations software.

● Experience handling confidential, regulated, and sensitive information with professionalism.

Preferred

● Bachelor’s degree in healthcare administration, health sciences, compliance, business, or a related field.

● Experience supporting pharmacy audits, regulatory inspections, or compliance monitoring activities.

● Familiarity with pharmacy audit software, quality tracking platforms, or compliance monitoring tools.

● Knowledge of DEA registration requirements and exclusion monitoring (OIG/GSA).

Physical Requirements

● Ability to sit for extended periods of time at a desk and working on a computer

● Ability to communicate effectively in person, over the phone, or via virtual meeting

● Ability to maintain focus in a typical office environment with moderate noise levels

● Ability to perform repetitive motions with hands and arms, such as typing.
