About This Position
Title: Recruiting Specialist
Supervisor: Talent Acquisition Manager

Classification: Part Time (extra hours as needed)
Founded in 2000, the Milwaukee Academy of Science is a K4-12th grade independent charter school serving almost 2,000 scholars at its two campuses. The mission of MAS is to graduate students prepared to compete successfully at the post-secondary level. African American students comprise 99% of the student body and over 97% of students qualify for free or reduced meals. Regardless of student background and external factors, MAS maintains the expectation that students should be on grade level and proficient on state assessments.
- Job Summary: This position supports the recruitment functions in the Human Resources department. The recruitment Assistant responsible for coordinating hiring activities, scheduling interviews, screening resumes, and maintaining candidate databases. They assist with onboarding processes and handle administrative tasks.
- Position Relationships:
- Reports to: CHRO, HR Director, Talent Acquisition Manager
- Coordinates with: HR Generalist, Hiring Managers/Principals, Operations, vendors,
- Position Responsibilities:
- Recruiting Administration
- Source new applicants via active and passive sourcing channels.
- Post jobs on all job boards (Paylocity, WECAN & Indeed) & refresh as needed
- Source candidates in Indeed
- Explore new active sourcing opportunities in conjunction with Manager
- Screen resumes to determine if applicant moves forward in the interview process
- Send initial communication to start interview process
- Create New Hire Files
- Send reference requests to potential new hires
- Send “Welcome Message” to new staff
- Update New Hire Spreadsheet
- Transfer applicants from WECAN & Indeed into Paylocity
- Email Birthdays and Anniversaries Monthly to All Staff
- Send an encouraging email monthly to new teachers
- Update boards in Cariina/ Launchpad
- Create staff directory
- Create interview folders for candidates in Hiring Drive
- Update 'Staff Directory' on MAS website
- Source new applicants via active and passive sourcing channels.
- Onboarding
- Create onboarding folders for new hires
- Take pictures and create new staff ID’s
- Create swag bags for new staff
- Recruiting
- Attend Job Fairs and assist with setup & takedown
- Assist with planning for hiring events
- Create spreadsheet to track applicants that signup at job fairs
- Compliance
- Update and maintain teacher license tracker
- Obtain and organize transcripts for new staff
- Update & proofread job descriptions as needed
- Recruiting Administration
- Position Qualifications:
- Required Qualifications and Skills:
- Proven experience as Recruitment Assistant or other recruiting-related role
- Familiarity with hiring practices and stages (screening, interview, assessment, onboarding)
- Experience using recruiting software and social networks for recruiting
- Ability to work independently and as part of a team
- Strong organizational and time management skills
- Great attention to detail and accuracy
- Outstanding communication skills, interpersonal skills and discretion/confidentiality
- Problem-solving ability
- Required Qualifications and Skills:
- Preferred Qualifications and Skills:
- Bachelors in HR, Business or relevant field
- A minimum of 2 years of experience
- Proficient in HRIS and Google system, and the ability to learn new software
