Medical Staff Associate

DEFINITION/PRIMARY FUNCTION
-
The Medical Staff Associate provides administrative and operational support to the Medical Staff Office, assisting with credentialing processes, medical staff communications, committee coordination, and maintenance of practitioner records. This role ensures accurate documentation, timely follow-up, and smooth workflow within the credentialing office while supporting the Chiefs of Staff, Medical Staff leadership, and hospital departments.

POSITION QUALIFICATIONS (Minimum qualifications are required unless stated otherwise.)
-
Experience:
-
Three years of administrative or executive secretarial with responsibility for office management, scheduling, and document preperation.

Experience in a hospital, credentialing office, healthcare administration, or similar regulated environment preferred.

Experience taking minutes, preparing agendas, and supporting committees is highly desirable.

Demonstrates completion of medical terminology coursework preferred.

Education and Training:
-
Associate Degree in Business Office Administration, Health Administration, or related field preferred.

Equivalent experience in an administrative or medical staff services setting may be considered.

License, Certification & Registration:
-
None required.

NAMSS CPCS or CPMSM certification is not required but valued for career development.

Other Requirements:

Verbal and written communication skills, including proofreading and professional correspondence.

Ability to prioritize work, manage multiple deadlines, and work independently within established guidelines.

Strong interpersonal skills with the ability to work collaboratively and diplomatically with physicians, hospital staff, and external agencies.

High level of discretion, professionalism, and respect for confidential information.

Knowledge of medical terminology is preferred.

Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook).

Experience with credentialing databases preferred; willingness to learn required.

Competence with office equipment including copier, fax, scanner, and dictation/transcription equipment.

Comfortable working with electronic document systems and digital file management.
