Schedule Description
DUTIES

Provides advice to students with respect to education planning, academic goals and course selection. Provides instruction on admission and registration processes to current and prospective students through interview, assessment, on-line and group facilitation. Supports and provides advice to the university’s recruitment, conversion and retention activities.

Assists the department with the accreditation process with both the Degree Quality Assessment Board and the Canadian Engineering Accreditation Board ensuring appropriate documentation and communication. Maintains articulation agreements with other institutions. Supports the department with course and program updates. Assists the department in implementing new degree programs. Assists the department with course scheduling and timetabling; and prioritizes and manages the duties of the Divisional Secretary.


MAJOR DUTIES & RESPONSIBILITIES

  1. Provides advising services to the engineering students, including engineering transfer and BEng programs.
  2. Maintains the accuracy and completeness of curriculum documentation.
  3. Ensures that approved academic curriculum changes are up to date and communicate changes to faculty, students, college and university transfer programs, and other stakeholders.
  4. Maintain reports on curriculum development and approval process for the department.
  5. Assists department Chair in managing course scheduling and timetabling.
  6. Manages articulation agreements with other institutions.
  7. Performs initial assessment for transfer credits of the transferring students.
  8. Coordinate with TRU’s Co-op Coordinator to ensure 4th year students have met the requirements for their mandatory Co-op year and others students are prepping for their mandatory Co-op terms.
  9. Coordinate and maintain record of the development of successful accreditation standards and processes for the engineering degree programs.
  10. Communicate with faculty members about program assessment plans and define organizational practices to implement evaluation tools for accreditation.
  11. Works in conjunction with course instructors to develop program assessment tools to ensure alignment with program goals and CEAB accreditation guidelines.
  12. Writes and prepare program accreditation documents for the Canadian Engineering Accreditation Board’s (CEAB) review and visit.
  13. Ensure appropriate processes, and documentation for CEAB accreditation and other external and internal reviews, are in place.
  14. Extracts, manage and store data from a wide range of internal and external sources, compiling and analyzing data, and performing statistical analyses of data for CEAB accreditation purposes.
  15. Coordinates the accreditation review processes and document requirements by reviewing information, soliciting content from faculty members from various departments within Faculty of Science offering engineering courses and verifying its accuracy.
  16. Coordinates the CEAB Accreditation Team visits.
  17. Community outreach and visiting high schools to promote the program.
  18. Prepare and coordinate communication with school counselors.
  19. Coordinate with marketing and communication to ensure that programs have up-to-date promotional materials.
  20. Coordinate with admissions to ensure that students’ applications are evaluated timely by the department admission committee.
  21. Communicate with potential applicants and provide information as and when required.
  22. Assists in arranging promotional events in the department.

QUALIFICATIONS

EDUCATION:

  • Undergraduate degree preferably in relevant discipline or in Education


EXPERIENCE:

  • Three years of related experience with demonstrated experience in educational planning, quality assurance and program accreditation


SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB

  • Familiarity with the educational system at the post-secondary levels
  • Familiarity with accreditation processes and program evaluations
  • Familiarity with Degree Quality Assurance processes and procedures
  • Experience-working with students to advise them about professional accreditation related advice
  • Excellent interpersonal skills and cross-cultural sensitivity are essential
  • Must be tactful and articulate in dealing with faculty, staff and students in a multi-cultural context
  • Demonstrated ability to work independently and with initiative - must be a self-starter
  • Exceptional oral and written communication, time management, and organizational skills
  • Ability to make thoughtful, informed, and thorough decisions
  • Ability to analyze problems, identify key information and issues and propose effective solutions
  • Excellent computer skills and willingness to learn to use new systems

  • Some off-site travel
  • Set-up of computer/audio visual equipment and tables and chairs at off-site locations (on an infrequent basis)
  • Ability to lift/load in excess of 20 kg
The salary for the above position is determined by the Collective Agreement with the Canadian Union of Public Employees, Local 4879, as it presently exists.
Pay Band
$30.68 - $34.09 ( CUPE Grade 08 (90% - 100%) )
Salary rate
Please Note: This position may be subject to a 90% salary for the first 560 hours of employment.
