About This Position
Position Overview
The Administrative Fellow supports the Chief of Staff and executive leadership team in coordinating strategic priorities and ensuring the seamless daily operations of the corporate office.
This is a high-visibility role within the Bank, serving as both a trusted executive support partner and the primary point of contact for visitors, clients, and shareholders. The position requires professionalism, discretion, organizational excellence, and a strong service orientation consistent with a $3B+ community banking institution.
Primary Duties and Responsibilities
Executive & Strategic Coordination
- Coordinate and track action items related to executive and strategic initiatives.
- Assist in preparing presentations, reports, and briefing materials for leadership and board meetings.
- Support meeting coordination, agendas, and follow-up documentation.
- Maintain organized records consistent with Bank policies and internal controls.
- Conduct basic research and compile information to support executive decision-making.
- Participate in and support various initiatives bank-wide, particularly in digital and operations
Executive Administrative Support
- Manage executive calendars, scheduling, and meeting logistics.
- Prepare and process expense reports in accordance with Bank policy.
- Draft routine executive correspondence.
- Coordinate travel arrangements as needed.
- Maintain strict confidentiality of sensitive financial, personnel, and regulatory information.
Corporate Office & Front-of-House Responsibilities
- Serve as the first point of contact for clients, board members, regulators, vendors, and visitors.
- Professionally answer and direct incoming calls.
- Greet guests and ensure a welcoming, professional office environment.
- Coordinate deliveries, mail, legal service documents, and process servers in accordance with Bank procedures.
- Maintain reception and conference areas to professional standards.
- Oversee office supplies and shared space readiness.
- Assist with internal meetings and executive-hosted events.

Minimum Qualifications
- Bachelor’s degree in Business Administration, Management, or a related field or an equivalent combination of education and progressively responsible administrative experience.
- Strong organizational and professional communication skills.
- High degree of discretion and professionalism.
- Proficiency in Microsoft Office Suite.
- Ability to manage multiple priorities effectively.
Preferred Qualifications
- Executive support, office management, or banking-related experience.
- Prior experience in financial services or a regulated environment.
