This role is a critical part of our Licensing & Regulatory Affairs function, helping ensure the company remains compliant across state and regulatory requirements while supporting internal teams with reliable, well-documented processes.

Our Compliance and Licensing teams play a key role in protecting the business, supporting growth, and maintaining trust with regulators, partners, and customers.
As a Licensing Assistant, you’ll provide administrative and operational support to the Licensing & Regulatory Affairs Specialist and broader Compliance team. Your work directly supports timely license renewals, accurate filings, and clear documentation — all essential to keeping the business running smoothly.
What You’ll Do
You’ll support the day-to-day administration, tracking, and coordination of licensing and registration activities across the organization.

- Help maintain compliance with state and regulatory licensing requirements
- Ensure licensing records, calendars, and documentation are accurate and up to date
- Reduce risk by supporting timely filings, renewals, and follow-ups
- Improve operational efficiency through organized tracking and documentation
- Support internal teams with responsive, professional communication
- Create stability and reliability in a highly regulated environment
Key Role Responsibilities
Licensing & Regulatory Support
- Assist with gathering information and preparing licensing and registration documentation
- Track and maintain records for 200+ licenses and registrations
- Maintain licensing calendars and renewal schedules
Administrative & Systems Support
- Populate documents, update tracking spreadsheets, and maintain accurate records
- Organize Teams channels, Trello boards, and internal documentation
- Perform routine administrative tasks including filing forms and maintaining records
Collaboration & Leadership
- Collaborate with internal teams and clients to understand data needs
- Promote best practices in coding, testing, documentation, and deployment
Communication & Coordination
- Respond to internal and external inquiries professionally and promptly
- Communicate with state regulatory agencies as needed
- Participate in meetings and follow up on action items
Minimum Qualifications
- High School Diploma or GED
- Three years of administrative support experience, preferably in a regulated environment
- Strong attention to detail and organizational skills
- Proficiency in Microsoft Office, including Excel
- Strong written and verbal communication skills
Preferred Qualifications
- Experience working with state or government agencies
- Experience in financial services, loan servicing, or compliance environments
Knowledge, Skills & Abilities
- Ability to perform detailed, repetitive administrative tasks with high accuracy
- Ability to work extensively in Excel and other systems for tracking and reporting
- Ability to interpret and apply regulatory instructions and deadlines
- Ability to manage multiple tasks and priorities simultaneously
- Ability to maintain confidentiality and handle sensitive information
- Ability to work independently while following defined procedures
Essential Functions

- Ability to organize and maintain accurate documentation
Work Schedule & Classification
- Schedule: Full-time, Monday–Friday; occasional extended hours may be required to meet business deadlines
- FLSA Classification: Exempt
- Periodic travel may be required for team meetings or company events
Physical & Environmental Requirements
- Prolonged periods of sitting and working at a computer
- Must be able to communicate effectively via phone, video, and written channels
- This position operates in a professional remote or office environment using standard office equipment (computers, phones, printers)
