Schedule Description
DUTIES

The Associate Future Student Advisor (AFSA) plays a vital role in the Future Students team and reports to the Manager of Student Recruitment.

The AFSA provides front line student service for the Future Student’s Office. Duties include providing information and pre-admission advising regarding program offerings, admission requirements, and registration information to prospective students and applicants. The AFSA will respond to inquiries from prospective students and stakeholders using multiple communication channels, such as phone, email, text, chat, and in-person appointments, relating to domestic recruitment and conversion efforts in all target markets. In addition, this role will include supporting the planning and follow-up of various recruitment activities and events as well as general office administration.


MAJOR DUTIES AND RESPONSIBILITIES

  1. Advises prospective TRU students on academic offerings, admission requirements, and/or required prerequisite studies. Provides information on housing, scholarships, and other services available to TRU students. Advising takes place on campus with individual students and their families visiting TRU. Advising also takes place through telephone, electronic mail, and web-based correspondence.
  2. Provides educational plans and first year planning prior to admission.
  3. In collaboration with the Future Students Coordinators, plans and conducts on campus recruitment and conversion events, including campus tours, enrolment workshops and events, interactive on-line chats and other types of virtual meetings with prospective students, applicants, and newly admitted students.
  4. Acts as the first point of contact for receiving and screening student visitors, incoming calls, answering and redirecting incoming emails, providing information and directing students to appropriate areas; and providing assistance to students as they learn to navigate TRU.
  5. Delivers effective recruitment presentations at on campus recruitment events.
  6. Develops materials pertinent to student recruitment and conducts office duties.
  7. Tracks and handles online and in person appointment scheduling, gathers statistical information on meetings, events, activities, and produces reports, newsletters, spreadsheets and charts for the department.
  8. Assists with the development and assembly of background material for meetings.

QUALIFICATIONS

EDUCATION

  • Four-year Baccalaureate degree from a recognized University


EXPERIENCE

  • One year of related experience where public speaking, group facilitation, and office support were part of the responsibilities
    • Experience with student advising


SKILLS, KNOWLEDGE OR ABILITIES RELATED TO THE JOB

  • Ability to communicate effectively to a culturally diverse audience, both verbally and in writing, including strong interviewing, listening and interpreting skills
  • Understanding of cross-cultural communication; ability to interpret student needs
  • Ability to use computer software and interfaces (i.e. Microsoft Office, student record systems, relational databases, scanners, social media)
  • Effective research, analytical, problem-solving and planning skills
  • Ability to work independently, as well as part of a team
  • Demonstrated ability to prepare and deliver effective oral presentations
  • Ability to plan, organize and prioritize tasks and meet deadlines, maintaining accuracy and attention to detail


WORKING CONDITIONS

  • Sitting at desk and computer for periods of time; regular student contact
  • General office conditions
  • Ability to lift loads in excess of 20 kg
  • Flexibility in work hours; some evening and weekend work
The salary for the above position is determined by the Collective Agreement with the Canadian Union of Public Employees, Local 4879, as it presently exists.
Pay Band
$29.21 - $32.45 ( CUPE Grade 07 (90% - 100%) )
Salary rate
Please Note: This position may be subject to a 90% salary for the first 560 hours of employment.
