Basic Function and Scope of Responsibility:
The Kitting and Logistics Manager is responsible for overseeing administrative, operational, and compliance-related shipping and logistics activities, with a strong focus on domestic and international shipments. This role provides leadership to the Kitting and Shipping Supervisor and ensures shipping processes are efficient, compliant, cost-effective, and aligned with business needs.
The position exercises independent judgment, manages logistics strategy and priorities, and serves as the primary subject-matter resource for shipping regulations and documentation. The role is primarily administrative and managerial in nature and does not routinely perform hands-on shipping tasks.
Essential Job Duties:
- Provide direct supervision, coaching, and performance management for the Kitting and Shipping Supervisor
- Establish clear expectations, priorities, and performance standards for shipping and logistics operations
- Support employee development, training, and succession planning within shipping and kitting functions
- Promote a culture of accountability, compliance, and continuous improvement, oversee all domestic and international shipping activities, including carrier selection, service levels, and shipment scheduling
- Ensure adherence to international trade regulations, export controls, customs documentation, and country-specific requirements
- Serve as the primary escalation point for shipping delays, discrepancies, or regulatory issues
- Monitor shipping performance metrics such as on-time delivery, cost efficiency, and error rates
- Ensure accurate and compliant preparation of shipping documentation, including commercial invoices, customs declarations, permits, and other required records
- Maintain oversight of shipping SOPs, work instructions, and policies; ensure documentation remains current and compliant
- Support internal and external audits by maintaining accurate shipping and logistics records
- Ensure compliance with safety, quality, and regulatory standards relevant to domestic and international logistics
- Partner with internal teams such as operations, quality, customer service, and finance to support business priorities
- Communicate shipping requirements, changes, and risks clearly to stakeholders and leadership
- Coordinate logistics planning to support production schedules, inventory flow, and customer commitments
- Coordinates changes in kits with updated materials and materials flow; identifying and addressing any supplier issues or opportunities
- Monitors performance of all shipping and kitting partners
- Monitors and, when applicable, notifies business units of possible disruption to shipping across the globe
- Verifies and records both incoming and outgoing shipments and tracks metrics that allow for monitoring of performance
- Knowledge of various shipping methods
- Create and maintain SOPs in Media Lab such that all team members have adequate documentation on how to execute their assigned duties
- Create, maintain, and periodically assess vendor relationships, vendor performance and pricing of high-volume supplies
- Create, maintain, and present monthly department KPI’s focusing on quality, productivity, and customer service
- Data analysis and presentation using Excel, Word, or PowerPoint
- Quick turnaround time of data requests from other business units
- Identify opportunities to improve shipping processes, reduce costs, and increase reliability
- Evaluate carriers, freight services, and logistics providers to ensure optimal performance and compliance
- Support implementation of logistics systems or technology improvements
- Use data and metrics to drive informed decision-making and process enhancements
- Ability to meet and maintain turnaround time requirements
- Ability to clearly document in all applicable logs, documents and systems for traceability
- Clearly and professionally communicate with all internal and external teams
- Adhere to all quality and safety standards
- Continue to work on ways to improve processes
- Other duties as assigned by management
Essential Knowledge, Skills and Abilities:
- High school diploma/GED required
- Bachelor’s degree in business, supply chain, logistics, or a related field preferred (or equivalent experience)
- Minimum of 5 years of shipping, logistics, or supply chain experience, including leadership or supervisory duties
- Experience with international shipping, customs documentation, and regulatory compliance preferred
- Lean/Six Sigma certifications preferred, but not required
- Strong knowledge of domestic and international shipping regulations and logistics processes
- Demonstrated leadership and people management skills
- Ability to exercise independent judgment on complex logistics and compliance matters
- Strong organizational, documentation, and problem-solving skills
- Effective written and verbal communication skills
- Proficiency in shipping systems, ERP/LIMS platforms, and standard office software
Physical Requirements:
- Physical dexterity sufficient to use hands, arms, and shoulders repetitively to operate a keyboard and other office equipment, use a telephone, access file cabinets and other items stored at various levels, including overhead
- Ability to speak and hear well enough to communicate clearly and understandably with sufficient volume to ensure an accurate exchange of information in normal conversational distance, over the telephone, and in a group setting
- Specific vision abilities required by the job include close vison and ability to adjust focus
- Ability to stand for extended periods of time (15% of the time)
- Ability to sit for extended periods of time (50% of the time)
- Ability to lift, push, pull, or carry objects of up to 40 pounds, and bending and stooping about 15% of the time
- Required to stand, walk and sit for a length of time
- Ability to continuously operate a personal computer for extended periods of time (4 or more hours)
