Job Summary: The Executive Business Partner to the CEO combines proactivity, exceptional organization, and sound judgment to manage the CEO’s time, communications, and priorities. Acting as a trusted gatekeeper and facilitator, this role ensures the CEO can focus on high-impact decisions while key communications, scheduling, and follow-through are handled efficiently. The candidate communicates professionally with executives, clients, and partners, anticipating needs and keeping operations running seamlessly.
Duties and Responsibilities:
- Manage and optimize the CEO’s calendar, ensuring priorities are reflected in scheduling decisions.
- Coordinate internal and external meetings while protecting strategic focus time.
- Prepare meeting briefs, agendas, and relevant materials.
- Monitor and triage the CEO’s email inbox.
- Draft and respond to emails on behalf of the CEO when appropriate.
- Identify urgent communications and escalate when necessary.
- Ensure timely responses and follow-up on key messages.
- Track action items, commitments, and follow-ups from meetings.
- Assist with preparation for leadership meetings, presentations, and reports.
- Coordinate communication between the CEO and the internal leadership team.
- Organize executive meetings and maintain documentation of decisions and action items.
- Support special projects or initiatives driven by the CEO.
- Assist with travel planning and logistics as needed.
- Serve as a primary point of contact for internal and external stakeholders seeking time with the CEO.
- Prioritize requests and determine appropriate routing or delegation.
- Perform additional duties as required to support evolving business needs.
Requirements:
- Bachelor’s degree or equivalent experience required.
- 5+ years of experience supporting a C-suite executive or senior leader.
- Proficiency with Microsoft Office Suite and the ability to quickly learn new applications.
- Proven experience managing executive calendars and proactively handling a CEO or executive’s inbox, including prioritizing communications and drafting responses.
- Exceptional organizational and time-management skills, with the ability to manage competing requests and deadlines.
- Strong written and verbal communication abilities.
- Proven ability to prioritize competing requests and make sound decisions.
- High level of professional discretion, confidentiality, and sound judgment.
- Pass a drug screen and background check.
- Valid driver’s license and reliable transportation, with an insurable driving record and proof of automobile liability and property damage coverage.
- Bilingual skills are a plus.
Physical Requirements:
- Perform work while seated, standing, walking, or moving between locations for extended periods.
- Use computers and related technology, read electronic and printed materials, and observe details at close range.
- Communicate clearly in person, by phone, and electronically, and occasionally move light objects or travel to other work locations as business needs require.
- Drive to work, client sites, and other SafeTouch branches as business needs require.
Job Type: Full-time, exempt
Work/Base Location: Remote
Work Hours/Availability: Daytime, Monday through Friday, and as needed to fulfill job responsibilities.
Travel: 20%
Salary Range: $75,000 - $95,000
