Kingsky Flight Academy is a U.S. based aviation training center operated by airline captains, with over 60 years of experience. We provide high-quality pilot training programs and partner with major colleges while training both domestic and international students.
The Senior Admissions Officer is responsible for managing and executing the full enrollment process after the sale is completed, ensuring a seamless transition from “closed deal” to “student onboarded.”This role is 100% operational and process-driven (not sales), focused on:
- Enrollment execution
- Documentation & compliance
- Student onboarding experience
- Internal coordination
You will act as the bridge between Sales, Finance, and Operations, guaranteeing that every student is properly enrolled, documented, and ready to start training.

Essential Duties and Responsibilities:
1. Enrollment Process Ownership
- Manage the full post-sale enrollment lifecycle (Closed Deal ? Start Date)
- Ensure all required documents are collected, verified, and approved
- Coordinate enrollment timelines and student start dates
?? Admissions professionals are responsible for processing applications, documentation, and guiding students through enrollment steps
2. Documentation & Compliance
- Review and validate all student documentation (IDs, visas, contracts, payments)
- Ensure compliance with U.S. regulations and school policies
- Manage international student documentation (M-1 visa process when applicable)
- Maintain audit-ready records at all times
?? A core function of admissions roles is maintaining accurate records and ensuring compliance with institutional policies and regulations
3. CRM & Data Management
- Own and maintain 100% accuracy in CRM (HubSpot)
- Track each student’s stage in the enrollment pipeline
- Ensure all data, contracts, and payments are properly recorded
- Generate reports for leadership (enrollments, delays, bottlenecks)
4. Student Onboarding Experience
- Serve as the main point of contact after the sale
- Guide students through next steps: payments, documentation, scheduling
- Ensure a smooth and premium onboarding experience
- Coordinate orientation and first-day readiness
?? Admissions roles commonly act as the primary contact guiding students through the process and answering questions
5. Cross-Department Coordination
- Work closely with:
- Sales Team (handoff from closed deals)
- Finance (payments, funding, Sallie Mae, etc.)
- Operations (scheduling, instructors, aircraft availability)
- Resolve bottlenecks that delay student start dates
Qualifications:
- 3–7+ years of experience in:
- Admissions, enrollment, or operations
- Strong experience with process management and documentation
- High attention to detail and compliance mindset
- Experience with CRM systems (HubSpot preferred)
- Ability to manage multiple students and timelines simultaneously
- Fluent in English (Portuguese/Spanish is a strong plus)

Physical Demands:

Work Environment:
- Consistent with a standard office environment, noise level is low with little to no extraordinary environmental factors.
