About This Position

The Field Operations & Trucking Coordinator supports daily construction operations by coordinating trucking logistics, field scheduling, reporting, and compliance activities. This role works closely with the Operations Manager, field teams, trucking vendors, safety, and accounting to ensure efficient material movement, accurate documentation, and regulatory compliance. Ideal candidates are organized, detail-oriented, and thrive in a fast-paced construction environment.

ESSENTIAL FUNCTIONS

Field Office & Administrative Support:

  • Provide support for Field Operations and Safety reporting.
  • Daily field personnel scheduling in IVO
  • Generate and distribute daily, weekly, and monthly operational, trucking, & safety reports.

Trucking & Dispatch Coordination:

  • Oversee and manage quad dispatch and logistics coordination.
  • Schedule, assign, and reassign truck drivers for optimal efficiency and productivity.
  • Monitor truck activity, deliveries, loads, and quantities to ensure accurate and timely material movement.
  • Serve as the primary liaison between trucking vendors and internal field, operations, and accounting teams.
  • Resolve trucking-related discrepancies including hours worked, tickets, production quantities, and pay issues.

Trucking Contracts & Vendor Compliance:

  • Coordinate annual renewal and distribution of master trucking agreements.
  • Maintain accurate trucking compliance records including Certificates of Insurance (COIs), W-9s, contracts, and related documentation.
  • Reconcile trucking invoices to enter tickets and post approved invoices to Accounts Payable.
  • Support trucking closeout documentation and ensure all trucking, compliance, and payroll items are complete.

Regulatory Compliance:

  • Distribute wage determinations for projects requiring certified payroll. (Job Boards)
  • Ensure trucking vendors submit weekly certified payroll on applicable projects.
  • Maintain accurate accounts of trucking compliance on public and government-funded projects.
  • Support DBE, ESB, SBE, and related compliance documentation and reporting.

Safety Systems & Training Documentation:

  • Update and maintain required safety training certifications for field operations.
  • Monitor daily safety documentation (JSAs, QA/QC reports, toolbox talks) and report deficiencies.
  • Monitor driver performance metrics using fleet and telematics systems and report results.

Compensation

  • Hourly, non-exempt position.
  • Pay range aligned with IGE Level C – Level D on the Integrity Grading pay scale.

Qualifications:

  • Excellent communication, coordination, negotiation, and problem-solving skills.
  • Highly self-directed, organized, and detail-oriented.
  • Proficient in Microsoft Office (including Excel) and logistics, dispatch, and ERP systems.
  • Ability to work independently and collaboratively in a fast-paced construction environment.

Job Status & Expected Hours:

  • Full-time, non-exempt position.
  • Core hours generally between 7:00 a.m. and 5:00 p.m., Monday through Friday.
  • Occasional evening and weekend work may be required due to seasonal and operational demands.

Travel

  • Occasional travel between project sites and company offices as needed.
