Patient Operations Specialist- Bend Clinics

Schedule: Shift Times: Tuesday – Friday 8:00am – 5:00pm at Northwest Crossing Clinic

Saturday: 7:30am – 4:00pm at East Bend Clinic

The Opportunity

At COPA, our Patient Operations Specialists are the warm and approachable team members who help keep our pediatric clinic running smoothly every day. As a key member of the Patient Operations team, you’ll support children and families by scheduling appointments, welcoming patients at check-in and check-out, and helping families navigate COPA’s patient portal. This role blends organization, technology, and compassion, requiring attention to detail, comfort with healthcare systems, and an understanding of policies that protect our patients. Most importantly, you’ll help create a warm, inclusive, and family-friendly environment where every patient feels cared for and supported.

The Job

  • Deliver exceptional customer service while greeting patients, managing calls, and creating a welcoming clinic experience
  • Accurately handle patient registration, scheduling, insurance verification, and EMR documentation
  • Coordinate communication across departments to support smooth daily clinic operations
  • Manage administrative tasks including scanning, forms, payments, audits, and patient portal support
  • Maintain compliance with HIPAA and organizational standards while supporting workflow, problem-solving, and team training

Qualifications

Education and Certification

• High School diploma or equivalent required

• Recognized certifications include: AHIMA - RHIT, AAPC - CPC, OHA - HCI Qualified or Certified Interpreter. (Not required for role.)

Experience

• Three years of customer service experience required, clerical experience in clinical setting preferred. Intermediate and advanced phone, verbal and computer skills. Ability to work well under pressure with minimal supervision. Flexibility and willingness to handle a variety of tasks. Ability to handle the changing needs of the department and organization

• Must be flexible and willing to work any COPA site during the evenings, weekdays and weekends as needed by organization for coverage purposes

• Epic EMR experience preferred. Proficient with Microsoft Office Suite

• Bilingual in Spanish and English a plus

Physical Requirements

• Use of clear and audible speaking voice and the ability to hear normal speech level in person, over the telephone or through use of other required technology. Sitting or standing for long periods of time. Frequent repetitive motion includes computer keyboard use, reaching with hands and arms, and walking. Occasional lifting and or moving up to 30 pounds and on rare occasion up to 50 pounds. Specific vision abilities required include viewing computer monitor for long periods of time, close vision, distance vision, color vision, peripheral vision, and depth perception

• Must be able to wear appropriate personal protective equipment (PPE) as required

Working Conditions

• Work inside in a general medical office or personal office (HIPAA Compliant) Setting with ergonomically configured equipment

• Travel between COPA clinics, business office and community partners as required
