Administrative Assistant Coordinate Operations for High-End Residential Construction Job Overview

The Opportunity

You will serve as the operational backbone of a fast-growing general contracting and fabrication company. This role is ideal for a bilingual professional who enjoys being the central point of coordination across field staff, subcontractors, and designers.

You will play a key role in supporting project execution and maintaining organization across all active jobs. Your work directly contributes to the growth of a high-end business known for craftsmanship and precision.

How You Will Make an Impact
  • Monitored business expenses and collaborated with the bookkeeper to provide regular updates on payment statuses.

  • Executed financial tasks including the preparation of 1099 payroll checks and handling banking deposits.

  • Organized project binders and documentation to ensure all purchase receipts are accurate and accessible.

  • Coordinated with expeditors to obtain necessary permits and maintain compliance with city agency requirements.

  • Facilitated subcontractor relations by collecting contracts, insurance certificates, and assisting with payment scheduling.

  • Collaborated with IT and website developers to resolve technical issues and provide project completion updates.

  • Administered HR functions including tracking employee leave, preparing onboarding materials, and assisting with field payroll.

Required Qualifications & Experience
  • Previous experience in an administrative, office management, or operations support role.

  • Strong proficiency in QuickBooks Online and general financial tracking.

  • Advanced skills in Microsoft Office Suite, specifically Excel, Word, and Outlook.

  • Proven ability to manage time effectively in a fast-paced, deadline-driven environment.

  • Must be bilingual in English and Spanish.

Preferred Qualifications & Experience
  • Experience working specifically within the construction or general contracting industry.

  • Familiarity with New York City permitting processes and subcontractor coordination.

  • Previous experience supporting payroll processes and new hire onboarding.

  • Comfort working in a small, growing company where responsibilities may evolve over time.
