The Opportunity
The Membership Manager serves as the primary steward of the membership experience at Moonlight Basin, overseeing all aspects of membership sales, application processing, account management, and prospective member engagement. This role is also the key liaison between the Club and the Real Estate community within the Big Sky area, ensuring that prospective buyers and homeowners are fully informed about Club amenities, fee structures, and the Moonlight Basin lifestyle.
Working closely with Club leadership, the Membership Manager leads and supports the Member Services team in delivering a seamless, elevated experience from first point of contact through onboarding and beyond. This is a highly visible, relationship-driven role that requires exceptional organizational skills, creative thinking, and a genuine passion for hospitality and community.
Essential Duties & Responsibilities
Membership Sales & Management
- Follow up with all interested parties — both homeowners and non-homeowners — to review and present Club membership opportunities for resident and non-resident prospects.
- Support the Member Services Manager and team through regular training and updates on membership offerings, ensuring all team members can speak accurately and enthusiastically to available options.
- Process all membership applications through appropriate channels, including upgrades, transfers, and resignations.
- Partner with Accounting to manage membership deposits, initiation fees, annual dues structures, and any special membership arrangements.
- Maintain consistent communication with ownership throughout all membership applications and special membership requests.
- Collaborate with Club leadership to establish annual membership projections and departmental budgets.
Residential Services & Real Estate
- Coordinate pre-arrival and on-site concierge services for prospective members and Real Estate clients, training and inspiring the Member Services team to consistently exceed expectations.
- Serve as the primary Club liaison for Real Estate prospect stays, managing pre-arrival services and acting as the bridge between the Real Estate Sales Team and all Club operational departments.
- Build and maintain strong relationships with local realtors and Real Estate teams — particularly Big Sky Real Estate Co. — ensuring prospective buyers receive comprehensive information on Club amenities, fee structures, and community life.
- Collaborate with Moonlight Residential and Big Sky Real Estate Company on marketing and communications directed toward current members, owners, and prospective members.
Member Experience & Onboarding
- Provide in-depth, personalized property tours and Club experiences for prospective members.
- Develop, manage, and continuously refine a thorough onboarding and welcome process for all new members, including the curation of unique, branded welcome gifts.
- Actively participate in Member events and Club programming to build lasting relationships and maintain a strong sense of community.
- Help oversee Member-facing areas of the Club to uphold established standards and ensure a consistently exceptional environment.
Administrative & General
- Oversee departmental budgets, ensuring costs are maintained within established guidelines.
- Manage all invoice submission and approvals in close coordination with the Accounting team.
- Champion the Moonlight Basin Club Vision, Mission, and Values through effective leadership, exceptional service, and consistent standards across the Member Services team.
- Provide support to other departments during special events and key moments throughout the season.
- Complete additional duties as assigned by the General Manager, AGM, or Controller.
Core Competencies
- Strong verbal and written communication skills, with the ability to engage meaningfully with members, prospects, Real Estate partners, vendors, and internal teams
- High degree of organizational ability with exceptional attention to detail and the capacity to manage multiple priorities simultaneously
- Proven ability to lead, coach, and motivate a service-oriented team in a fast-paced hospitality environment
- Creative and resourceful, with the ability to develop thoughtful experiences, branded touchpoints, and member programming
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher) and Outlook; comfortable with membership or property management software
- Adept at handling confidential information with discretion and professionalism
- Ability to build and maintain strong relationships across diverse backgrounds, cultures, and roles
- Self-starter with the drive and initiative to carry out a wide range of responsibilities with minimal direction
- Knowledge of resort, hotel, and/or private club operations
Qualifications
- Minimum 2-year college degree; Bachelor's degree preferred
- 3+ years of experience in a club, hospitality, or luxury resort environment
- Background in membership sales, residential services, or concierge operations strongly preferred
- Experience with residential rental management is a plus
- Ability to use online recruiting systems for reviewing applications, interviewing, and hiring
- Valid driver's license required
- Flexibility to work beyond 40 hours per week, including evenings, weekends, and holidays as business demands

Working Conditions
Work hours typically begin at 9:00 AM and extend through 5:00–7:00 PM, with variability based on seasonal business demands and Club events. This position is based on-site at Moonlight Basin and is not eligible for remote work. Conditions are typical of a resort, hotel, or private club environment, with moderate indoor temperatures and variable noise levels.
Big Sky, Montana experiences dynamic and at times unpredictable weather conditions. This role requires the ability to work outdoors in cold temperatures and snowy conditions.
