Receptionist/Administrative Assistant
Reports to: Chief Financial Officer
POSITION SUMMARY
The Community Education Building (CEB) is seeking a friendly, dependable Receptionist to serve as the first point of contact for visitors, tenants, and callers. This role focuses on front-desk coverage, visitor assistance, and basic office support under established procedures and supervision. This is an excellent opportunity for someone with customer service experience who is looking to grow within an administrative or nonprofit environment.

KEY SKILLS AND EXPERIENCE
- Experience working with tenants, parents, visitors, delivery and service personnel
- Minimum 2 years’ experience in similar positions or comparable training
- Highly proficient with Microsoft Office suite
- Must have the ability and genuine interest to learn new systems and technologies
- Excellent oral and written communication skills
KEY ROLES AND RESPONSIBILITIES
Front Desk & Visitor Management
- Greet visitors in a courteous and professional manner
- Determine the purpose of each visit and direct guests to the appropriate location or staff member
- Answer and route incoming phone calls and general email inquiries
- Follow established building access and security protocols
- Act as primary point of contact for external inquiries and telephone calls
- Track and route urgent calls or messages appropriately
Basic Office Support
- Maintain a neat and welcoming reception and common areas • Sort and distribute incoming mail and deliveries
- Assist with scheduling conference rooms using shared calendars
- Monitor office supply levels and notify supervisor when replenishment is needed
- Assist with copier and office equipment needs by reporting issues to appropriate staff or vendors
Telephone & Communication Management
- Maintain voicemail greetings and front-desk messaging systems
- Track and route urgent calls or messages appropriately
- Maintain internal contact lists and directories
Office Operations
- Coordinate basic facilities requests (repairs, cleaning, room setup)
- Liaise with vendors and service providers for routine office needs
- Maintain the copier supplies and call for service when necessary
- Manage inventory of office supplies
- Manage inventory for and maintain CEB hospitality station
Culture & Professional Presence
- Represent the organization’s values and professionalism as the first point of contact
- Support a welcoming, inclusive, and organized office environment
General Administrative Support
- Provide administrative support including drafting and sending correspondence, information gathering, calendaring, and special projects for members of the Impact Council without direct administrative support
- Support the execution of CEB events and special projects as needed
QUALIFICATIONS
- High School Diploma
- Customer service training preferred
- Must pass criminal background check
- Reliable attendance and transportation
- Bilingual Spanish/English- Preferred
