The Workplace Services Coordinator will play a highly visible, handson role at the heart of our Dubai office, acting as a trusted administrative partner and positive role model for the team. Working closely with senior stakeholders, this role is central to the smooth daytoday running of the office, and you will work across office operations, business development and marketing activity, and general administrative support.
Our Dubai office is a closeknit team, but it is also a hub for visiting international colleagues and highprofile client events, making it one of our most dynamic and strategically important growth locations. This role offers genuine variety, autonomy and the chance to be closely involved in shaping how the office operates and evolves.
The position is officebased five days a week, with occasional homeworking by prior agreement. As the Dubai office continues to expand, the scope and responsibility of this role are expected to grow alongside it, making this an excellent opportunity for someone looking to develop with the business.
Responsibilities:
Act as the first point of contact for the Dubai office, providing professional reception coverage, managing calls and inquiries, and welcoming visitors and guests.
Deliver handson, onsite support to corporate functions including Marketing, Legal, IT, HR, Recruiting and Accounting.
Proactively manage office and kitchen supplies, monitoring stock levels and placing orders as required.
Oversee the maintenance of all office equipment and facilities, coordinating with suppliers to ensure everything operates smoothly (e.g. printers, coffee machines, AV equipment).
Own the office budget and daytoday spend, ensuring costs are tracked, controlled and aligned with forecasts.
Liaise with a wide range of vendors and service providers including cleaning, catering, telephony and safety services.
Maintain high office standards by coordinating repairs and facilities work, partnering closely with the Workplace Portfolio team where needed. You will also be BRG’s primary representative with the building management and maintenance teams, ensuring strong relationships and effective issue resolution.
Support directors in management of their calendars, including day-to-day schedules/tasks.
Occasional involvement in document production and provide editing, distributing, organizing, filing, proofreading and translation support as requested.
Provide general administrative assistance to office staff (travel arrangements, meeting set-up, transport, conference registrations).
Assist in the onboarding process for new hires, phones, offices space.
Work with IT on laptop preparation and replacement, etc.
Required Experience:
Proven experience in a workplace services, office management/administration or operational support role is required.
Experience gained in a Professional Services, Legal or financial services role would be beneficial but not essential.
Able to demonstrate proven problemsolving skills, and the ability to show initiative.
Excellent time management, organizational and project management skills, with the ability to prioritize effectively.
Able to demonstrate the ability to develop relationships across different corporate functions.
C1 Level or above English language skills, both written and verbal
Demonstrated ability to handle sensitive information with discretion and maintain confidentiality.
Advanced Microsoft Office skills including PowerPoint and Excel. Experience with Microsoft Teams a plus.
Comfortable with technology, both learning new applications and being a resource in support of others.
Willing to work flexible hours on occasion when needed.
