Ephemeris Net is a pre-seed space networking company on a mission to provide space connectivity for all through collaborative engineering of commercial space networking solutions. We are creating the infrastructure that will enable the space internet beyond bent pipe—starting with foundational networking infrastructure that will define how data moves through space.
We are supported by our parent incubator Second Order Effects, institutional VCs, and our network of space advisors. As space use scales and more space-native networks come online, we believe that now is the chance to build foundational infrastructure for how the internet will work in space.
The role
We’re hiring a Recruiting Coordinator to help build the team that extends the internet to space. As we scale from 5 to 50 in the next 12 months, you will be the operational backbone of our recruiting function: scheduling interviews, managing candidate communications, maintaining our ATS, and making sure every candidate has a seamless experience from first contact through offer.
This role sits at the intersection of operations and people. You'll work closely with our Operations team and directly support hiring managers across hardware, firmware, software, optical communications, mission management, and operations. You'll be the person who keeps every moving piece coordinated and on track.
Key responsibilities
Scheduling & CoordinationOwn end-to-end interview scheduling across all roles and disciplines, coordinating across candidates, hiring managers, and panel membersManage high-volume, multi-timezone scheduling with responsiveness and precisionSend timely confirmations, reminders, and logistics to all interview participantsPrepare interviewers with scorecards, candidate materials, and role context before each interviewCandidate Experience & Team CommunicationFacilitate conversations with C-suite & founder level hiring managers to define roles & search criteriaPrepare for and facilitate onsite-interview prep & debrief meetings with interview panelEnsure every candidate interaction reflects Ephemeris Net's mission and valuesManage post-interview follow-up communications with speed and professionalismCollect and organize interviewer feedback promptly after each panelATS & Process OperationsMaintain accurate and up-to-date candidate records in our ATS (Rippling)Track pipeline activity and generate weekly status reports for the recruiting team and leadershipSupport creation and maintenance of offer letters, interview guides, and onboarding handoff documentsCoordinate with Operations on requisition management, compliance tracking, and headcount dataHelp draft and refine job descriptions, interview guides, and candidate-facing materialsSupport research projects: compensation benchmarking, talent market maps, competitor hiring analysisPropose process-level improvements for the Ephemeris hiring processSourcing SupportHelp manage the warm candidate pipeline and re-engagement cadencesSupport university recruiting coordination, referral program logistics, and event planningResearch and build targeted candidate lists across technical disciplines (hardware, firmware, software, optical communications)Conduct searches and draft outreach plans for the hiring manager to execute onWhat we're looking for
Minimum Qualifications
1+ years of experience (professional or in an extracurricular setting) in a recruiting, HR, operations, or administrative coordination roleExceptional organizational skills - you can manage a dozen open threads simultaneously without dropping anythingStrong attention to detail; high standards for self and othersClear, professional written and spoken communicationGenuine curiosity about space, aerospace, deep tech, or infrastructureAbility to work in a fast-moving environment without established process and create structure where none exists Must be a US person (15 CFR § 772.1)Preferred QualificationsExperience at a high growth, ventured backed aerospace or defense company. Familiarity with technical recruiting and engineering disciplinesExperience with calendar management across multiple stakeholders and time zonesExperience using Rippling ATSWhat we offer
Compensation & Benefits
Salary: $65,000 - $85,000, based on experience Generous equity package (early hire equity) Comprehensive health care coverage Unlimited PTO (we expect you to take at least 4 weeks per year, and leadership does the same)Work Environment
