About This Position
JOB SUMMARY:
The Shipping & Receiving Clerk is responsible for executing daily inbound and outbound warehouse activities to ensure materials and finished goods are received, documented, staged, and shipped accurately and on time. This role supports inventory accuracy, production continuity, and customer fulfillment by maintaining strong system discipline, documentation accuracy, and adherence to food safety and safety standards. The Shipping & Receiving Clerk plays a key role in maintaining an organized, efficient, and audit-ready warehouse environment while working closely with Warehouse, Inventory, Production, and Transportation teams.
Essential Duties and Responsibilities
Shipping Responsibilities
- Prepare, stage, and verify outbound shipments to ensure correct SKU, lot, quantity, and documentation.
- Generate and verify shipping paperwork, including bills of lading (BOLs), packing lists, and customer-required documentation.
- Coordinate with carriers and drivers for dock assignments, loading times, and shipment execution.
- Load trailers safely and efficiently, ensuring product integrity and proper load securement.
- Confirm shipments in the ERP/WMS system and ensure all transactions are completed accurately and timely.
- Communicate shipment delays, discrepancies, or damages to Warehouse Management and Customer Service.
Receiving Responsibilities
- Receive inbound materials and finished goods, verifying quantities, condition, lot numbers, and documentation.
- Ensure all received materials are properly labeled, scanned, and entered into the ERP/WMS system.
- Identify and report damaged, missing, or non-conforming materials immediately.
- Coordinate placement of received materials into designated storage locations following FIFO and food safety requirements.
- Maintain receiving logs and documentation for audit and traceability purposes.
Inventory & System Accuracy
- Execute inventory-related transactions including receipts, transfers, staging, and adjustments as directed.
- Ensure all material movements are scanned and recorded accurately in real time.
- Support cycle counts, spot checks, and discrepancy investigations as needed.
- Maintain accurate documentation to support traceability, recalls, and audits.
Production & Warehouse Support
- Stage materials and finished goods accurately to support production schedules and shipping timelines.
- Assist with internal material movements and organization of warehouse storage areas.
- Communicate material shortages, errors, or risks to Warehouse Management promptly.
- Support special handling requests, expedited shipments, and priority orders as needed.
Safety, GMP & Compliance
- Follow and enforce OSHA, GMP, and Food Safety policies at all times.
- Maintain clean, organized, and audit-ready shipping and receiving areas.
- Use required PPE and operate forklifts, pallet jacks, and other material-handling equipment safely.
- Report unsafe conditions, damaged product, or safety incidents immediately.
Documentation & Communication
- Maintain accurate shipping and receiving logs, checklists, and system records.
- Communicate effectively with drivers, warehouse staff, inventory personnel, and supervisors.
- Support audits, inspections, and traceability exercises as required
Qualification Requirements
- High school diploma or GED required.
- 1–3 years of experience in shipping, receiving, or general warehouse operations, preferably in a food manufacturing or regulated environment.
- Experience using ERP or WMS systems and handheld scanners preferred.
- Working knowledge of FIFO, lot control, and basic traceability requirements.
- Familiarity with GMP, Food Safety, and OSHA standards.
- At least one year experience operating Sit-down, Stand-up Forklift / PIT in hot and cold enviroments.
- Strong attention to detail with the ability to verify quantities, documentation, and product condition accurately.
- Ability to follow written and verbal instructions and work effectively as part of a team.
- Proficient with computers, including use of scanners, Microsoft Office (Excel, Outlook) and WMS (SAP, BC, NetSuite, etc).
Physical Demands
- Regularly required to sit, stand and walk for extended periods throughout the shift.
- Frequently required to bend, stoop, kneel, reach, push, and pull while performing inventory checks and material handling.
- Must be able to lift, carry, and move up to 50 pounds with or without reasonable accommodation.
- Required to operate forklifts, pallet jacks, and other material-handling equipment as needed.
- Ability to climb ladders or stairs to access stored materials.
- Visual acuity required to read labels, lot codes, expiration dates, and system screens accurately.
- Manual dexterity required for scanning, labeling, and operating handheld devices and computer systems.
- Must be able to work in cold, hot, or variable temperature environments, including freezer and refrigerated storage areas.
- Required to wear appropriate personal protective equipment (PPE), including but not limited to safety shoes, gloves, hairnets, and hearing protection.
Work Environment
This position works in both office and manufacturing/warehouse environments with variable temperatures, loud noise from machinery, equipment alarms, and frequent interaction with carriers and drivers.
