About the Role
The Administrative Assistant supports the Community Manager in the day-to-day administrative and operational functions of the community. This role is responsible for maintaining organized office operations, providing professional customer service to residents and prospects, managing documentation and system updates, and assisting with leasing and resident communication processes.

The Administrative Assistant serves as the primary point of contact in the office, ensuring accurate recordkeeping, timely communication, and consistent execution of community procedures to support overall property performance and resident satisfaction.

The Assistant must be comfortable managing the office independently while the Community Manager shows homes and addresses property-related matters.

**Weekend availability is required.**


Key Responsibilities

Office Oversight & Administration:

  • Maintain consistent office hours and professional office operations
  • Independently manage the office when the Community Manager is showing homes
  • Answer phones and greet residents and prospects
  • Maintain organized resident files and accurate system records
  • Process documentation and update property management software
  • Prepare and distribute resident notices

Resident Relations:

  • Serve as the first point of contact for residents and prospects
  • Receive and document resident complaints or concerns
  • Communicate issues to the Community Manager as needed
  • Maintain detailed communication logs
Operational Support:
  • Support move-in and move-out procedures
  • Assist with appointment scheduling
  • Ensure documentation accuracy and compliance with company procedures
Sales & Leasing Support:
  • Assist with home showings as directed
  • Capture and document prospect information
  • Support follow-up communications as assigned


Qualifications

  • Prior administrative or office experience
  • Ability to work independently and manage office operations alone
  • Strong communication and customer service skills
  • Basic computer proficiency and data entry accuracy
  • Professional phone etiquette
  • Availability to work Wednesday–Sunday, including Saturdays independently

Preferred Qualifications

  • Experience with property management
  • Familiarity with Rent Manager software
  • Sales or leasing exposure


Compensation and Benefits

  • $17 per hour
  • Incentive compensation eligible based on overall community performance and individual contribution.

Work Environment and Physical Requirements (with or without reasonable accommodation)
