About This Position

Job Title: Lead Labs Coordinator

Location: Scottsdale, Arizona (Located at East Bell Road and the 101)

Compensation: Depending on experience

Employment Type: Full Time with Benefits (Medical, Life, Dental, Vision, and 401k)

Schedule: On-site Monday through Friday. 8 hour shift between the hours of 7:00am-5:00pm No nights, no weekends, and no major holidays!

Position Summary:

The Lead Labs Coordinator ensures the efficient daily operation of the lab department and serves as the primary point of contact for all lab‑related needs across internal and external teams. This role oversees lab preparation, processing, shipping, tracking, communication, and results management to ensure accuracy and timely completion. The Lead supports Lab Coordinators, manages workflow execution, and provides hands on support and real‑time problem solving to maintain exceptional patient and provider support. The position collaborates and communicates closely with patients, providers, internal departments, external vendors. The Lead contributes to departmental improvement and promotes a positive team culture.

Essential Functions:

  • Serve as the point of contact for all departments regarding lab processes.
  • Collaborate with PCC/PFC/PAC, phlebotomists, medical team, HS/CC, billing, and external lab representatives.
  • Maintain in‑depth understanding of all lab workflows and processes.
  • Ensure departmental duties, deadlines, and daily operations are consistently met.
  • Coordinate team workflows, ensuring processes are followed and quality standards are maintained. Update all lab‑related planners and internal worksheets.
  • Work closely with Patient Billing and Care Coordinators to ensure accuracy in quoting and charging for specialty and LabCorp labs.
  • Provide backup and support for all lab staff roles; understand individual workflow and workload.
  • Delegate tasks as needed and follow up to ensure completion.
  • Identify workflow issues; investigate, troubleshoot, resolve, and perform process audits as needed.
  • Assist the team with daily logistical issues; support communication and operational troubleshooting with the Department Manager.
  • Proactively identify issues that require management attention.
  • Collaborate with the Department Manager on departmental improvement and future development.
  • Coordinate ADP‑related tasks for the team (PTO, sick time notifications, communication). Approvals are routed through management.
  • Schedule and run weekly department meetings alongside the Manager; one‑on‑ones occur between staff and management.
  • Oversee training and shadowing; ensure training manuals, SOPs, and job descriptions remain current.
  • Communicate training plans clearly and sign off on completed training or follow up with trainers and trainees.
  • Promote and model a positive work environment; report negativity to management and lead by example.
  • Maintain professional relationships with lab representatives, vendors, and external partners.
  • Ensure all lab processes adhere to HIPAA, OSHA, and company Employee Handbook guidelines.
