About This Position

About the Role:
The Facilities Administrator will ensure seamless daily functioning of the workplace by managing facility operations, vendor coordination, maintenance activities, safety compliance, and administrative support. This role is critical in maintaining a safe, efficient, and welcoming environment for employees, visitors, and partners.

What You’ll Do:
  • Facilities Operations: Manage daily facility activities, inspections, maintenance, housekeeping, security, and timely issue resolution.
  • Vendor Management: Coordinate with facility vendors (housekeeping, security, cafeteria, HVAC), manage CCTV/access control, monitor SLAs, and support contract renewals.
  • Office Administration: Handle office supplies, pantry/HK inventory, procurement, seating allocation, workstation setup, and facilities-related onboarding support.
  • Safety & Compliance: Ensure safety and statutory compliance, conduct fire drills/EHS activities, maintain safety records, and support visitor/access management.
  • Budget & Reporting: Assist with facility budgets, track expenses and invoices, and maintain operational reports and documentation.

What You Bring:
  • Strong organizational, coordination, and multitasking abilities.
  • Excellent communication and interpersonal skills.
  • Sound knowledge of facility management operations, vendor handling, and office administration.
  • Ability to respond quickly and effectively to facility issues.
  • Proficiency in MS Office and basic facility management tools/systems.
