ABOUT THE ROLE
As a Practice Assistant, you will play a key role in supporting attorneys and paralegals in a dynamic, fast-paced legal environment. This position is ideal for a highly organized, detail-oriented professional who thrives on multitasking, anticipates needs, and takes pride in delivering high-quality administrative and client service support.
- Provide comprehensive administrative support, including creating, revising, and formatting legal documents, spreadsheets, and presentations using Microsoft Office, Adobe Acrobat, and other firm tools
- Perform document conversions, comparisons, proofreading, and quality checks to ensure accuracy and consistency across materials
- Manage attorney calendars, coordinate meetings, and handle complex scheduling needs
- Arrange domestic and international travel, balancing attorney preferences, cost considerations, and itinerary efficiency
- Prepare expense reports, reconcile travel costs, process invoices, and submit check requests as needed
- Support time entry and billing processes, including drafting, editing, and submitting timenotes in compliance with billing guidelines
- Maintain and organize client and matter files, both electronically and in hard copy, ensuring accessibility and accuracy
- Coordinate logistics for client meetings, including conference rooms, catering, technology setup, and sending invitations on behalf of attorneys
- Communicate professionally with clients, external counsel, and vendors while proactively anticipating attorney needs and providing seamless day-to-day support
- Assist with litigation matters by preparing trial materials, coordinating depositions, managing exhibits, supporting court filings, and helping organize case documents from inception through resolution
ABOUT YOU
- Bachelors or Associates degree in business, finance, or a related field preferred
- Minimum of 2+ years of experience in a law firm or professional services environment, with hands-on experience supporting administrative functions, legal documentation, and scheduling
- Excellent written and verbal communication skills, with the ability to interact effectively across all levels of an organization and build strong client relationships
- Highly organized with the ability to manage and prioritize large volumes of both paper and electronic information
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and familiar with document management systems
- Exceptional attention to detail, with strong proofreading and quality control skills
- Dependable and responsive, with a strong sense of urgency and commitment to meeting deadlines
- Strong problem-solving skills, with the ability to think critically and anticipate needs beyond immediate tasks
- High level of accountability, with a proactive approach to owning responsibilities and resolving issues
- Team-oriented mindset, with the ability to collaborate effectively and contribute to a positive, high-performing work environment

Additional compensation may include a discretionary bonus, overtime as applicable, health/welfare benefits, retirement contributions, paid holidays, and PTO. The range displayed is specifically for positions performed in those cities/states and may vary based on factors including but not limited to the following: local market data and ranges; an applicant's skills and prior relevant experience; and certain degrees, licensing, and certifications.
Seattle salary range, $53k-$74k
