JOB TITLE: Referral Coordinator (Remote) Washington State residency required

POSITION SUMMARY: The Referral Coordinator is responsible for managing and obtaining all prior authorizations for outgoing specialist visits, procedures, and diagnostic testing. This role also ensures that all incoming referrals for office visits, procedures, and testing are properly authorized prior to services being rendered. Additional responsibilities include coordinating appointments, communicating with patients, scheduling visits, and registering patients accurately and efficiently. The Referral Coordinator collaborates closely with internal departments and external organizations to ensure all required patient information is obtained, provided, and maintained in electronic format whenever possible. The Referral Coordinator is responsible for monitoring all patient referrals through completion (loop closure), ensuring patients attend scheduled appointments, and confirming that consultation notes and reports are received and/or sent in a timely manner to the appropriate parties.

  • Proactively resolve referral and scheduling issues to prevent care delays

  • Ensure all referrals, authorizations, and documentation are completed accurately and on time
  • Maintain high attention to detail to prevent errors, denials, or delays in patient care
  • Monitor referral workflows proactively to ensure timely completion and loop closure
  • Continuously follow up on pending referrals, appointments, and consultation notes
  • Adhere to best practices, payer guidelines, and organizational standards
  • Identify opportunities to improve referral processes and patient experience

  • Identify and support improvements to referral and authorization workflows to enhance efficiency and patient access
  • Utilize EPIC systems and technology to streamline referral tracking and documentation
  • Adapt to new processes, tools, and payer requirements to support organizational initiatives
  • Assist with implementation of workflow enhancements and best practices
  • Analyze referral issues and trends to help reduce delays and denials
  • Contribute ideas that improve referral coordination and patient experience

  • Build strong, trusting relationships with patients by providing clear, compassionate guidance on referrals and appointments
  • Maintain regular communication with providers, specialists, and internal teams to ensure seamless coordination of care
  • Serve as a reliable point of contact for patients, answering questions and addressing concerns promptly
  • Collaborate with colleagues across departments to share information and support patient-centered care
  • Follow up with patients after appointments to ensure satisfaction and completion of referral care
  • Advocate for patients to minimize barriers and enhance their overall healthcare experience

QUALIFICATIONS:

Required Education: High School Diploma or GED

Preferred Education: Associates Degree

Required Licensure: N/A

Specialty Certification: N/A

Required Experience: Minimum of one (1) year of medical office experience with exposure to insurance verification and/or referral authorization processes; one (1) year of experience as a Referral Coordinator in a medical practice preferred.

Skills:

  • General knowledge of medical insurance processes
  • Knowledge of medical terminology, CPT & ICD codes
  • Ability to communicate effectively, both written and orally
  • Excellent customer service skills
  • Ability to cross train in other areas of practice in order to achieve smooth flow of operations
  • Good organizational skills with the ability to adapt to medical situations
  • Ability to handle patient and organizational information in a confidential manner
  • Ability to work in an environment of continuous change
  • Ability to manage priorities and work under deadlines
  • Speaks and understand the English language

WORK ENVIRONMENT:

    Flexibility to work extended hours as needed
  • Good working conditions. Clean, well-lighted, temperature-controlled area
  • Must be in the state of Washington
PHYSICAL DEMANDS:

  • Ability to work in a fast-paced environment and handle multiple priorities.
  • Sitting, standing, and walking over course of work day
  • No lifting over 5 pounds

Benefit Eligibility Requirements - Employees regularly scheduled at least 20 hours per week.

Employee Dependents - Your legal spouse or domestic partner; dependent children until age 26.
