Position Summary:

The Sales Support Specialist will play a key role in supporting our sales operations by managing order entry, processing, and customer service. This individual will collaborate with various departments to ensure efficient order fulfillment and provide administrative support to the sales team. This role requires a proactive individual who thrives in a dynamic environment and is committed to providing exceptional support to both customers and internal teams.

Responsibilities:

  • Order Entry & Processing:
    • Accurately enter and confirm customer orders via EDI and manual submissions.
    • Work with internal teams to ensure correct entry of customer, items, and warehouse information.
    • Manage sales and purchase orders in the ERP system, including lot numbers and bin codes for tracking.
    • Coordinate daily with customers, sales, production, warehouse, supply chain, vendors, and logistics for timely order fulfillment.
    • Handle EDI document submissions, shipment tracking, route orders, and late shipment reporting.
  • Order Management & Customer Service:
    • Update and manage order changes in coordination with sales and warehouse teams.
    • Address customer inquiries, complaints, and concerns.
    • Work in and manage customer portals, ensuring accurate data entry.
  • Inventory & Reconciliation:
    • Track outsourced inventory and customer drop-shipments.
    • Handle credit and deduction reconciliations/disputes.
    • Monitor daily inventory levels and communicate any changes.
  • Administrative & Sales Support:
    • Assist with new item setup and maintain Master Item Spec Sheet.
    • Work with customer-specific systems for data entry and sales reporting.
    • Provide support for trade shows, including coordination with the sales team.
    • Purchase and manage marketing materials, brochures, and signage.
    • Handle customer sample shipments and UPS orders.
    • Generate and provide weekly sales reports.
    • Conduct competitive shop tracking.

Qualifications & Skills:

  • 3-5 years of customer service or sales support experience.
  • Ability to work independently and collaboratively in a fast-paced environment.
  • Strong multitasking and organizational skills with keen attention to detail.
  • Creative, reliable, and highly motivated.
  • Tech-savvy with the ability to quickly learn new systems.
  • Proficiency in Microsoft Office; Dynamics 365 experience preferred.
