Overview

The intern will support the institutional Document Program in helping bring institutional documents within the required review periodicity. The role includes assisting with document preparation, organization, and coordination of reviews with document owners and teams, support related document management activities such as template updates and document organization. The intern may also support Records Management needs, records audits and digitization activities.

The Requirements and Records function at PPPL is responsible for two primary areas: Institutional Documentation & Records Management.

A key priority within the institutional Documentation function is the execution of an established implementation plan to bring all institutional documents into compliance and alignment with defined requirements by July 2027. Due to competing priorities across both functional areas and current staffing limitations resulting from budget constraints, additional support is required to maintain progress against this implementation plan. Current resources are primarily focused on compliance-driven activities and operational responsibilities, limiting capacity to support the required volume of documentation review, updates, and coordination.

This support will help to ensure timely completion of documentation efforts while allowing existing staff to remain focused on higher- priority compliance and program responsibilities.



Responsibilities

Core Duties:

The intern will support the Institutional Documentation function and where needed Records Management function within Requirements and Records Division:

  • Assist in the organization, tracking, and maintenance of institutional documents, including charters, policies, procedures, standards, program plans etc.
  • Support the review and update effort to ensure alignment with established requirements and implementation timelines.
  • Assist in maintaining document inventories and tracking progress against the Institutional Documentation implementation plan.
  • Support version control and document lifecycle activities, including coordination of updates and approvals.
  • Assist in preparing reports, status updates, and tracking metrics related to documentation progress.
  • Assist with updates and maintenance activities in the InBase system, including document uploads, metadata updates, and organizational support.
  • Support general program activities as needed to advance Institutional Documentation and Records objectives.

Qualifications

Education and Experience:

  • Undergrad student.

Knowledge, Skills and Abilities:

  • Records management training.
