About This Position

Job Summary

The Sales, Closing & Starts Coordinator plays a vital role in supporting the Sales, Construction, and Operations teams to ensure an efficient, accurate, and customer-focused homebuilding process. This hybrid position manages sales contract administration, oversees the closing process, and prepares complete and accurate start files for new homes. This role acts as a liaison between buyers, Sales, Construction, Accounting, Title, Lenders, Appraisers, and Municipalities while maintaining compliance, organization, and exceptional service. The ideal candidate will be highly organized, solution-oriented, and aligned with our company's values.

Maintain reliable, punctual attendance and a high level of professionalism.

Communicate clearly and courteously with homeowners, team members, trade partners, and external partners via phone, email, and in person.

Sales Contract Administration

Receive, review, and process all sales contracts for accuracy.

Ensure proper entry of contract data into the production management system.

Maintain and update versions of contract forms, addenda, and required documentation.

Oversee and track terminated contracts.

Maintain accurate physical and digital contract files.

Update and maintain marketing materials as homes contract and close.

Communicate and provide executed documents/community information timely via NoviHome, to the homebuyer

Closing Coordination

Coordinate closing timelines with buyers, Sales, Construction, Title, Lenders, and other partners.

Gather, organize, and upload all documentation required for closing (e.g., warranty applications, settlement statements, certificates, inspections).

Approve and coordinate execution of Seller's Closing Disclosures and settlement documents with title companies.

Support appraisers and lenders by providing requested documentation and comparable sales.

Update and distribute weekly closing and backlog reports for leadership.

Continuously evaluate opportunities to improve accuracy, timelines, and the buyer experience.

Starts Coordination / Pre-Construction

Receive, review, and organize incoming sales files to prepare complete starts packets.

Ensure accuracy and usability of all files for Construction.

Order and review lot-specific plans to confirm alignment with contract details and customer selections.

Apply for and track permits; follow up with municipalities to ensure timely approvals.

Monitor and meet pre-construction timelines (goal: within 60 days).

Identify and resolve discrepancies or missing documentation prior to home start.

Manage required buyer signoffs and ensure documentation is accessible to all relevant departments.

Maintain clean, organized digital and physical files for all home starts.

Overall Company Requirement

Strict adherence to our internal processes (The Road Home) guide is required.

Systems & Reporting

Monitor, maintain, and update LotVue and production management systems for accuracy.

Support weekly report production, including projected closings and production backlog.

Capture buyer and partner feedback to support continuous improvement.

Additional Duties

Provide education and support to Sales and Construction regarding contract, closing, and start procedures.

Support cross-department tasks as needed to ensure workflow continuity.

Perform other related duties as assigned.

Minimum Qualifications

High school diploma or GED required.

Bachelor's degree in construction management or a related field preferred.

Minimum of 2-3 years' experience in residential construction, production, or purchasing

OR

Equivalent combination of education and relevant work experience that ensures success in this role.

Conditions of Employment

Pass a criminal background check and social security verification.

Provide valid proof of eligibility to work in the United States.

Possess a valid Texas driver's license within 30 days of employment.

Tools & Equipment Used

Smartphone, laptop, and related office technology.

May require use of protective safety equipment (e.g., hard hats, gloves, goggles, boots).

Work Environment & Physical Requirements

Primarily office-based with time spent at home building sites in varying weather conditions.

Exposure to construction-related noise and activity when on-site.

Must be able to travel to nearby job sites; reliable personal transportation is required.

Must be able to:

Stand and/or sit for extended periods.

Lift, carry, or adjust materials up to 25 lbs.

Perform physical activities including bending, climbing, squatting, and twisting.

Communicate effectively via hearing and speech; perform tasks requiring close vision.

Work Schedule & Travel

Standard work hours: Monday through Friday, 8:00 AM – 5:00 PM (40 hours per week).

Occasional after-hours calls or extended hours may be required.

Occasional travel is required for job site visits, company events, or team collaboration.
