Milemarkers Therapy is seeking a Growth & Retention Coordinator to support patient volume growth, referral development, and retention strategy execution across our pediatric therapy services.
This is not a traditional marketing role. This position is operational, data-driven, and results-focused—centered on building referral pipelines, improving conversion rates, and tracking measurable growth outcomes.
You will work directly with executive leadership to ensure growth initiatives are organized, executed, and producing results.
What You’ll Do Referral Development & Outreach (Primary Focus)- Coordinate and schedule outreach meetings with physicians, schools, DDD Support Coordinators, and community partners
- Maintain and manage referral partner database (CRM/tracking system)
- Track referral touchpoints, follow-ups, and outcomes
- Prepare outreach materials and ensure timely follow-up after meetings and events
- Maintain monthly Growth Dashboard, including:
- Referrals by source
- New patient starts
- Conversion rates (referral → scheduled → seen)
- Waitlist metrics
- Identify trends, gaps, and opportunities for leadership
- Ensure 100% accurate and on-time reporting
- Execute social media and digital content aligned with growth initiatives
- Coordinate website updates and messaging
- Develop newsletters for referral partners and community outreach
- Support recruiting marketing efforts in partnership with HR
- Plan and support high-ROI community events only
- Track event outcomes, referrals generated, and ROI
- Maintain outreach schedules and referral resource lists
- Partner with scheduling/admin teams to:
- Track referral follow-through
- Identify breakdowns in the intake pipeline
- Improve speed and communication across the referral process
- Monthly referral volume and growth by source
- New patient starts by service line
- Conversion rates (Referral → Scheduled → Seen)
- Referral follow-up completion rate (95%+ within 48 hours)
- Accuracy and timeliness of reporting (100% on-time)
- Event and campaign ROI
- 1–3 years in administrative coordination, marketing support, or healthcare office environment
- Strong organizational skills with high attention to detail
- Comfortable working with data, metrics, and reporting
- Strong written and verbal communication skills
- Ability to obtain and maintain an Arizona Level One Fingerprint Clearance Card
- Experience in healthcare, therapy services, or referral-based environments
- Familiarity with CRM systems or data tracking tools
- Experience supporting outreach, recruiting, or marketing initiatives
- Fast-paced pediatric therapy clinic environment
- High coordination with leadership, HR, finance, and clinical teams
- Requires strong prioritization, adaptability, and follow-through
- Mission-driven pediatric therapy organization
- Direct collaboration with executive leadership
- Clear performance expectations tied to measurable outcomes
