EXECUTIVE DEPARTMENT COORDINATOR I (ENTRY-LEVEL)

POSITION SUMMARY

Performs entry-level administrative and operational support duties for ACSA's Executive department, focusing on basic office operations, governance support, and administrative assistance.

SUPERVISION RECEIVED AND EXERCISED

Receives assignments from members of the Executive department team and reports to the Chief of Staff. Methods of performing tasks are outlined or explained in general terms and supervisor reviews work at regular intervals upon completion.

ESSENTIAL DUTIES AND RESPONSIBILITIES

· Provides direct assistance with activities that support the Board, Leadership Assembly or other task forces or working groups as assigned.

· Reviews, codes and routes supply, postage and related invoices for payment to Financial Services.

· Receives visitors, phone inquiries, and mail for distribution.

· Coordinates conference room scheduling and basic internal meeting support.

· Assists with basic governance activities and record-keeping.

· Supports staff meetings and administrative functions.

· Performs other duties as assigned.

EXECUTIVE DEPARTMENT COORDINATOR II (MID-LEVEL)

POSITION SUMMARY

Provides comprehensive operational and administrative support, specifically in operational support for the Sacramento office, state Committee and Council (C/C) governance support and other ACSA leadership with increased independence and responsibility.

ESSENTIAL DUTIES AND RESPONSIBILITIES

In addition to the duties and responsibilities above, the Executive Department Coordinator II:

· Makes travel arrangements and schedules all appointments for the Executive Director.

· Composes routine letters and memos related to the area of assignment.

· Coordinates external committee appointments with Executive Director.

· Screens incoming telephone calls for the Executive Director.

· Compiles information and data for reports as necessary.

Requirements:

EXECUTIVE DEPARTMENT COORDINATOR I (ENTRY-LEVEL)

MINIMUM QUALIFICATIONS

· High School Diploma or GED required; some college coursework preferred;

· Minimum of three years of administrative support experience

· Intermediate proficiency in Microsoft Office Suite

· Basic understanding of office operations and procedures

Working Conditions

Requires frequent sitting, standing, walking, talking and hearing in a standard office setting. Specific vision abilities required by this job include close vision to read printed materials and a computer screen with ability to adjust focus. Position entails repetitive hand movements required for work on a computer keyboard, telephone, copier and other office equipment. Occasional reaching, twisting, and packing materials may be required. May occasionally lift and/or move up to 25 pounds. The noise level in the work environment is usually moderate. Infrequent travel may be required by land or air

EXECUTIVE DEPARTMENT COORDINATOR II (MID-LEVEL)

MINIMUM QUALIFICATIONS

· High School Diploma or GED required; associate’s degree preferred

· Three to five years of senior administrative experience

· Advanced proficiency in office technology

Working Conditions

Requires sitting for long periods of time in a standard office setting. Specific vision abilities required by this job include close vision to read printed materials and a computer screen with ability to adjust focus. Position entails repetitive hand movements required for work on a computer keyboard, telephone, copier and other office equipment. Occasional reaching, twisting, and packing materials may be required. May occasionally lift and/or move up to 25 pounds. The noise level in the work environment is usually moderate. Frequent travel (up to 40%) may be required by land or air.
