Supply Clerk

Job Summary

To assist in providing supplies and equipment in an efficient manner, in accordance with current applicable Federal and State standards, guidelines and regulations.

Responsibilities

  • Obtain an approved requisition prior to placement of a purchase order. Ensure all purchase orders are properly prepared, signed and submitted as required. Ensure purchase orders have proper departmental designation for proper allocation.
  • Assist in preparing correspondence and claims concerning damaged merchandise, errors in shipment, etc. and return to vendor as required.
  • Assist in developing methods for determining quantity of supplies and equipment required.
  • Deliver supplies and equipment as required.
  • Organize storage and catalog location of supplies and equipment for efficient handling and to prevent deterioration and or loss (outdates). Ensure that storage instructions are followed.
  • Notify appropriate department when special orders have arrived.
  • Receive & inspect merchandise, check invoices, purchase orders, packing slips, etc. with incoming merchandise.
  • Fill requisitions, as approved, and file in accordance with established policies and procedures.
  • Fill supply requisitions and deliver to ordering department.
  • Assist in developing and monitoring adequate inventory control procedures.
  • Ensure the highest quality product for the lowest price is procured whenever possible. Assist in establishing procedures to obtain the highest quality for the lowest price by working with Health Alliance personnel.
  • Maintain supply areas, inventory and stock.
  • Participate in the physical inventory process.
  • Trips to bank, post office and other local merchants as necessary. Deliver items (i.e. inter-office mail, equipment) between Mountainside and Margaretville Hospital as required in a timely manner.
  • Filing and record keeping in department.
  • Participate in product research and evaluation in cooperation with Materials Management staff
  • Ensure that vendors provide appropriate material safety data sheets (MSDS) in accordance with current OSHA regulations and the facility’s policies & procedures. Report problem areas to your supervisor and the Safety Officer.
  • Other duties as assigned.

Qualifications/Requirements

EXPERIENCE

With inventory and stock control. Working knowledge of purchase orders and receiving. Must be able to work with computers and be able to make independent decisions when circumstances warrant such action. Possess the ability to minimize waste of supplies and misuse of equipment. Must possess the ability to seek out new methods and principles and be willing to incorporate them into existing practices.

EDUCATION

High School Diploma or equivalent preferred
