This role offers an exciting opportunity to support and coordinate multiple medical communications projects in a dynamic, client-focused environment. You will play a critical part in ensuring projects run smoothly from initiation through delivery, including managing timelines, tracking deliverables, and coordinating cross-functional teams. The position allows you to interact with internal teams, clients, and vendors while developing expertise in medical, legal, and regulatory (MLR) processes. You will help facilitate meetings, prepare reports, and ensure clear communication across all stakeholders. - Track project deliverables and timelines across all departments to ensure on-time delivery
- Manage the medical, legal, and regulatory (MLR) submission process, coordinating with taggers and internal teams
- Schedule and coordinate internal and external meetings, take meeting notes, and provide timely status updates
- Support invoicing, reconciliation, Sunshine Act reports, and other client-required documentation
- Collaborate with logistics vendors for meeting planning, including site selection, travel arrangements, catering, and AV equipment
- Prepare assignment reports, facilitate assignment team meetings, and maintain project documentation
- Identify workflow obstacles and proactively propose solutions to maintain project efficiency
- Bachelor’s degree in advertising, marketing, communications, journalism, or related field
- 0-2 years of professional experience or internships in client service, agency, or project coordination roles
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, and Project)
- Strong written and verbal communication skills
- Highly organized with the ability to manage multiple projects simultaneously
- Self-starter with a detail-oriented mindset and problem-solving ability
- Familiarity with timelines, schedules, and project tracking tools is a plus
- Base salary range: $41,600 – $62,400 USD
