Responsibilities
Purchasing
- Work with IT teams to maintain adequate IT inventory stock
- Audit and approve consolidated invoices (Cellular/Phone, Network/Internet, Copiers etc)
- Audit, allocate and track Vendor Invoices in AP system
- Process Concur Expenses for IT Department/Company (not individuals)
- Track shipment details on orders and notify teams of arrivals or delays
- Enter and track approvals and payment against IT Purchase Orders
- Track equipment lease terms, renewals, and payments
- Track IT hardware/software maintenance contracts and process the renewal
- Coordinate and partner with other departments to procure software/hardware
- Contract and negotiate prices with vendors and service providers
- Rectify pricing, payment, or invoice disputes with vendors
- Track and report on all IT expenses for budgeting and spending trends
Licensing
- Catalog and track all major software contract details for reporting and budgeting
- Monitor utilization of licenses and make recommendations on changes to minimize cost to the company
- Coordinate small to medium size facility projects such as license model changes
- Coordinate renewals and negotiations with vendors ahead of schedule
Qualifications
- 3-5 years recent administrative experience
- Able to maintain attributes and details of records and provide reports based on them
- Proficient in Microsoft Word, Excel and Power Point
- Strong communication, organization, multi-tasking and analytical skills.
- Ability to work independently as well as collaboratively
- Ability to maintain privacy and confidentiality
- 4-year degree is preferred, but not required
