Overview
The Logistics Manager oversees the planning, coordination, and delivery of highquality logistical coordination for meetings, trainings, onsite events, and multistate review activities. This role provides strategic direction, supervises the Logistics Event Coordinator(s), and ensures all logistics processes are executed efficiently, consistently, and in alignment with federal requirements.
The ideal candidate is a proactive leader with strong organizational skills, excellent communication abilities, and experience managing event logistics in fastpaced, multistakeholder environments. This role requires sound judgment, problemsolving skills, and the ability to implement and continuously improve standardized logistics systems as well as demonstrated professional experience with event and meeting scheduling, travel coordination, material tracking, A/V, and management.
Responsibilities
- Leadership and oversight of event planning and execution for planning sessions, trainings, onsite events, and meetings.
- Oversee meeting logistics, including venue and A/V needs, virtual meeting setup, recording distribution, and accessibility supports when required.
- Ensure coordination of materials and shipping of equipment, event materials, delivery tracking, inventory maintenance, print requests and packaging, and secure handling procedures for sensitive materials per SOP.
- Lead planning and execution of onsite event and meeting support, including overseeing registration, supplies management, and serving as lead point of contact with venue staff and participants.
- Review and approve distribution of meeting notes and minutes.
- Complete event closeout activities, including documentation, materials reconciliation, budget tracking and reporting, and shipping.
Qualifications
- Bachelor’s degree or equivalent experience.
- 7+ years of experience designing and leading efficient logistics operations for multijurisdictional federal programs, including coordination of virtual and inperson meetings and events.
- Professional experience with travel scheduling, venue and vendor coordination, shipping/receiving, and materials tracking.
- Strong organizational skills and attention to detail, with the ability to manage multiple events and priorities simultaneously.
- Excellent written communication skills, including experience developing and executing standardized scheduling and communication frameworks.
- Demonstrated experience supervising staff and overseeing daytoday logistics operations.
- Experience ensuring compliance with tight federal timelines and deliverables quality expectations across multistate programs.
- Experience supporting recurring federal onsite state review cycles, including logistics for training, onsite reviews, communications, interpretation or other accessibility requirements, and reporting coordination.
- Ability to obtain and maintain a background check/suitability determination consistent with federal contracting requirements (as applicable).
PREFERRED QUALIFICATIONS:
- Experience serving as the senior logistics point of contact for federal and business-to-business clients, providing status reports for complex, multi-event engagements; translating client expectations into clear internal workflows and assignments; and communication expectations to staff, project leadership, and end users.
- Experience mentoring newer logistics staff and supporting professional development.
- Proficiency with project management tools and software.
- Familiarity with basic A/V and virtual platform troubleshooting.
PHYSICAL REQUIREMENTS:
- Long periods of sitting
- Long periods of computer use
- Lifting and carrying up to 40 pounds unassisted and up to 75 lbs with assistance and/or appropriate equipment*
- Long periods of focus and detail orientation
TRAVEL: Local and out-of-state business travel may be required.
SALARY
Salary is determined commensurate with experience of the candidate. Benefits include health insurance, holidays, and vacation benefits for all full-time employees of 30 or more hours. The salary range for this position is $105,000 to $125,000 per year. While we provide competitive compensation, it's important to note that for new hires, salaries typically align with the lower end of the range, taking into account factors such as experience, qualifications, and internal equity considerations.
