Reports to: Senior Director of Finance

Status: Full-time, Hybrid role - 3 days in the office after first 90 days

Salary Range: $65,000 - $80,000 annually, depending on experience

We are seeking a highly motivated, detail-oriented Grants Accountant to join our fiscal team. This is a critical role for a professional who thrives on precision and wants to support our mission of helping incarcerated and formerly incarcerated women and their children. You will be a key person for a diverse portfolio of New York City and State government contracts.

The Grants Accountant ensures the financial integrity of all grant-funded programs by managing the full lifecycle of government (NYC/NYS) contracts. This role acts as a bridge between program staff and the finance department, ensuring compliance with restrictive funding guidelines, timely invoicing, and accurate budget reporting.

Key Responsibilities

1. Government Contract Management & Compliance (NYC/NYS)

Manage a portfolio of contracts from funders such as NYC DYCD, DHS, DOHMH, HRA, NYS OTDA, and OCFS.

Ensure compliance with OMB Uniform Guidance and specific state/city agency requirements.

Register contracts, process amendments, and manage budget modifications in city/state portals (e.g., PASSPort, Grants Gateway, HHS Accelerator).

Prepare and submit accurate monthly/quarterly vouchers and invoices for reimbursement.

Collaborate with the Contracts and Grants Manager to communicate with the Contracts manager on the government side.

Work with the auditors and contracts managers to present reports and resolve any issues or questions.

2. Budgeting, Reporting & Analysis

Develop grant budgets and forecast spending in collaboration with program managers to ensure full utilization of funds.

Analyze monthly budget-vs-actual reports, identifying variances and potential funding risks.

Reconcile grant accounts, ensuring proper revenue recognition and deferred revenue calculations.

Create budgets and reports for private funders and foundations.

Record all incoming funds in the accounting system.

3. Financial Operations & Closeout

Prepare journal entries, ensuring proper GL coding for expenses and payroll allocations.

Oversee personnel cost allocations, ensuring time-and-effort tracking complies with contract terms.

Perform year-end closing activities for grants, including final reporting and contract closeouts.

4. Audit & Documentation

Maintain organized, audit-ready files for all assigned grants.

Support the organization’s annual independent audit and, if required, the Federal Single Audit.

Respond to inquiries from auditors and government agency monitors.

Required Qualifications

Education: Bachelor’s degree in accounting, Finance, or related field.

Experience: 2–4 years of non-profit grant accounting experience.

Government Expertise: Demonstrated experience with NYS and NYC government contracts.

Technical Skills: Advanced MS Excel skills (pivot tables, VLOOKUPs, sumifs) and proficiency in accounting software (Sage Intacct preferred).

Systems Familiarity: Experience with PASSPort, Grants Gateway, or HHS Accelerator is highly preferred.

Preferred Qualifications

Knowledge of OMB Uniform Guidance (2 CFR 200).

Ability to work in a hybrid environment (e.g., 2-3 days in office).
