Flexible PRN role- Guest Services Specialist for a medical spa


Position Summary

The Guest Service Specialist serves as the primary liaison between our medical and salon services, ensuring a seamless and welcoming experience for every guest. As the first point of contact—both in person and over the phone, the incumbent will provide exceptional service by confidently discussing cosmetic and wellness offerings, scheduling and confirming appointments, and managing guest check-ins and check-outs. Additional responsibilities include call triage, chart organization, and administrative support. Success in this role requires a polished, professional presence that reflects our upscale environment, along with a warm and enthusiastic approach to guest interactions.

Position Responsibilities

  • Serve as the first point of contact, greeting guests warmly and ensuring a seamless check-in/out process, including scheduling appointments, collecting payments, and providing necessary paperwork.
  • Answer internal and external calls, responding to inquiries regarding services, pricing, promotions, and policies in a courteous and professional manner.
  • Assist guests in selecting and booking services, upselling products and treatments based on their needs.
  • Address and resolve guest concerns, using sound judgment or escalating issues to management as needed.
  • Maintain a polished, professional appearance in alignment with Revitalize U’s standards of excellence.
  • Support business operations by maintaining the front desk area, organizing records, and completing clerical tasks (filing, photocopying, faxing, mailing).
  • Collaborate with leadership, physicians, stylists, and other team members to enhance the overall guest experience.
  • Proactively take on tasks to support operations during downtime and complete all opening/closing duties as assigned.

Education and Experience Requirements

  • High school diploma or equivalent.
  • 1+ years of customer or clinical service experience.
  • 1+ year of administrative experience.

Desired Qualifications and Experience

  • Experience in a health-related field (e.g., Health Information Management, healthcare operations, or guest relations) or a background in cosmetology/aesthetics.
  • Familiarity with electronic health systems.
  • Previous experience in salon guest services.
  • Availability to work evenings and weekends.

Required Skills and Abilities

  • Acute attention to detail with strong organizational, problem-solving, and analytical abilities.

  • Outstanding customer service skills with the ability to interact effectively across all levels and backgrounds.
  • Professional appearance and demeanor.

Physical Requirements

These physical demands are representative of those that must be met by an employee to successfully perform the essential functions of the job.

  • Prolonged periods of sitting at a desk and working on a computer.
  • Lift up to 15 pounds at a time.

Additional Eligibility Requirements

  • Successful completion of background and reference checks.
  • Proof of eligibility to work in the United States.

Expected Work Hours and Location

Hours for this position may vary between operating hours listed below:

  • Monday 12:00 pm - 8:00 pm
  • Tuesday through Thursday 8:00 am – 8:00 pm
  • Friday and Saturday 9:00 am – 5:00 pm
