Program Assistant – Older Adult Center (Jamaica OAC)
Location: Jamaica, NY
Department: Older Adult Services
Status: Full-Time
Schedule: Monday – Friday, 35 hours per week
Compensation: $17.00 – $18.00 per hour

Position OverviewThe Program Assistant is an integral member of the Jamaica Older Adult Center (OAC) team, working alongside the Director, Assistant Director, Kitchen Aide, and a rotating team of Case Workers and Program Instructors/Consultants.
This role provides essential clerical, administrative, and programmatic support to ensure the smooth day-to-day operations of the center. The Program Assistant serves as a key point of contact for participants and helps create a welcoming, organized, and engaging environment.
Key ResponsibilitiesAdministrative & Clerical Support
- Greet participants and visitors in a warm and professional manner, both in person and over the phone
- Provide information, referrals, and general guidance to participants
- Prepare, print, and distribute flyers and program materials
- Register new participants and maintain accurate membership records
- Perform daily scanning and/or manual entry of participant and program data
Data Entry & Reporting
- Enter daily program activity units into STARS/PeerPlace
- Reconcile daily activity logs with recorded units for accuracy
- Prepare and submit monthly reports based on activity data
- Collaborate with the Database Manager to maintain accurate participant records and program information
Program Support
- Assist with setup and breakdown of meal service and program activities
- Support congregate lunch distribution and daily operations
- Assist with health, wellness, educational, and recreational programming
- Lead outreach efforts to increase participant enrollment and engagement
Professional Development
- Meet and maintain agency-wide performance standards
- Participate in required trainings and professional development opportunities
- Contribute to annual training plans and program evaluations
- High School Diploma or GED required
- Minimum of 2 years of administrative or customer service experience
- Demonstrated ability to work effectively with older adults with patience, empathy, and flexibility
- Strong written and verbal communication skills
- Self-motivated and resourceful; able to work independently and collaboratively
- Proficiency in Microsoft Office (Word, Excel, Outlook) and database systems
- Bilingual required: Spanish, Bengali, or Hindi
- Familiarity with basic accounting or bookkeeping preferred
