About This Position

Description:

We are seeking an exceptional Executive Assistant (EA) to serve as a trusted partner to the CEO / Dealer Principal of a multigenerational, family-owned enterprise.

This role is ideal for a seasoned EA who brings sound judgment, emotional intelligence, and operational excellence. The successful candidate will enable the CEO / Dealer Principal to operate at the highest level by owning calendar management, communication flow, and day-to-day execution with precision and foresight.

This is not a traditional administrative role. It is a highly trusted, mission-critical position with meaningful impact and visibility across the enterprise.

Requirements:

Work Experience Requirements:

  • 5+ years as an Executive Assistant to C-Suite level role
  • 10+ years experience in business support/administrative role

General Knowledge and Skill Requirements:

  • Demonstrates immediate trustworthiness and follow-through
  • Professional presence, acumen and confident demeanor
  • Proactive, anticipatory, and calm under pressure
  • Outstanding written and verbal communication skills
  • Able to redirect, manage, and guide the Dealer Principal with clarity and respect
  • Deep experience with executive calendar management, email flow, and workflow design
  • Strong organizational systems thinking with a continuous improvement mindset

Essential Job Functions

Key Responsibilities

  • Time & Priority Management: Own the CEO / Dealer Principal calendar with structure and purpose. Anticipate needs, prioritize commitments, and proactively manage conflicts or shifting priorities.
  • Email & Communication Flow: Organize, filter, and draft communication responses; ensure timely follow-ups; triage what requires the CEO / Dealer Principal’s direct attention.
  • Executive Protection: Serve as the CEO / Dealer Principal’s gatekeeper—balancing access with discernment. Protect time, energy, and attention so the CEO / Dealer Principal remains focused on what matters most.
  • Meeting Preparation & Debrief: Coordinate materials, brief the CEO / Dealer Principal prior to meetings, and manage post-meeting actions.
  • Follow-Up and Accountability: Track outstanding tasks and ensure action items across the organization are executed.
  • Confidentiality & Discretion: Navigate highly sensitive information with maturity and integrity, particularly around family and ownership matters.
  • Family Office Coordination: May support light, ad hoc activities related to family office operations.

Physical and Mental Requirements:

  • Sit for long periods of time
  • Manual dexterity to operate a computer and other office machines
  • Clear and understandable speaking voice for the purposes of telephone communication
  • Ability to lift objects up to 25 pounds
  • Occasional stoop, kneel, or crouch
  • Correctable vision and hearing

Work Environment:

Most work is conducted in a comfortable office environment but exposure to site conditions may also occur. Personal protective equipment must be worn in areas as required. Although the work usually is not considered inherently dangerous, employees must be careful while performing onsite services.
